Publicity Associate (Seasonal)
PRINCIPAL RESPONSIBILITIES:
The Publicity Associate is responsible for providing administrative and on-site support to the Festival Publicist, which includes working with the Director, AFI Festivals, the FEST Programming, AFI Creative Services, Marketing Communications and Production teams to ensure proper communication and execution of AFI FEST's press and publicity strategies.
PRINCIPAL DUTIES:
• Assist the Festival Publicist with media outreach and story pitches.
• In collaboration with the Director, AFI Festivals and Festival Publicist, contribute to the implementation and management of the niche press strategy for the festival and for the festival's independent and foreign films.
• Draft press releases, media alerts and press correspondence.
• Manage the press and publicist accreditation and registration process.
• Coordinate a press and filmmaker reception.
• Accompany filmmakers, Director, AFI Festivals and/or Director of Programming to radio and/or television interviews as needed.
• Organize and distribute press clippings and media coverage reports after each press release.
• Manage the advance screening schedule and RSVPs.
• Manage and update Red Carpet requests and communicate with Press regarding approvals/denials.
• Manage the scheduling and supervision of special screenings and other non-gala special event carpets.
• Manage the press interview schedule and logistics at the Festival's Media Center.
• Coordinate press check-in and assist with escorting filmmakers and talent at gala and special screening red carpets.
• Escort house photographers for special events.
• Liaise with the AFI Photo Editor to obtain AFI FEST photos that will be uploaded to the festival's press site and distributed to the press.
• Liaise with distributors and film publicists regarding their screenings.
• Assist with the selection and scheduling of volunteers for the Press department.
• Assist Human Resources with the approval and selection of interns for the Press department; schedule interns as needed.
• Assist with building and maintaining press lists.
• Assist with local and regional calendar listings.
• Complete job specific reports and organize files prior to exit interview.
• Provide a comprehensive wrap report (e.g., procedural outline, comments on the operation of the festival, suggestions and recommendations for improvement, etc.) as outlined in the AFI FEST policy book and deliver a digital file and a hard copy of the report to the Director, Production and Operations, AFI FESTS during the exit interview. All job specific reports and files must be well organized and submitted during the exit interview.
• Perform other duties and responsibilities as assigned.
EXPERIENCE/SKILLS REQUIRED:
• Bachelor's degree required, preferably in Communications, Public Relations or Marketing.
• Minimum three years experience in entertainment and/or special event publicity.
• Experience pitching stories to the media.
• Working knowledge of film festivals and the film community.
• Working knowledge of international, national and media.
• Exceptionally detail-oriented with proven ability to handle numerous tasks with appropriate follow-up and reporting activities while not losing sight of the big picture.
• Ability to work independently while being an integral member of a high-functioning, results oriented team.
• Proven project management skills with the ability to take a project from conception through completion with minimal supervision.
• Excellent oral and written communication skills, including strong grammatical and proofreading abilities.
• Strong time management, organizational and multi-tasking skills coupled with the ability to work independently and with minimal supervision.
• Strong diplomacy skills and professionalism are mandatory; this includes the ability to maintain complete confidentiality and discretion.
• Excellent Internet research and computer skills with strong knowledge of Word, Excel and FileMaker Pro in a Mac environment.
• Possess a positive and professional attitude.
• Ability to work calmly under pressure.
• Personal integrity with the ability to inspire confidence and trust.
SUPERVISION:
The Publicity Associate performs all duties and responsibilities under the guidance and supervision of the Festival Publicist.
