Amblin Partners, located in Universal City, CA, has an immediate opening for a Career Executive Assistant to support the Chief Operating Officer. This is a great position for someone who has an interest in learning the business side of entertainment. This is not a creative role nor will it lead to a creative role in the future. Please do not apply if you have an interest in a career trajectory in an entertainment creative role or have previously held a creative role in the past. We are searching for an assistant who would like to continue their career as a long term executive assistant.
The Ideal candidate:
• Has previously supported a senior-level executive
• Is able to maintain the strictest confidentiality and discretion
• Must be a solution-focused self-starter, who can take initiative to learn
• Must have the ability to work independently
• Demonstrates excellent critical thinking, communication, and relationship-building skills
• Is able to work effectively in a fast-paced and sometimes unpredictable environment
• Thrives in and contributes to a uniquely positive, team-based environment, happy to assist others as needed
• Possesses exceptional organizational skills and attention to detail
• Has strong proficiency in Outlook, Microsoft Word, Excel, PowerPoint, along with excellent verbal and written communication skills
Responsibilities will include and may not be limited to:
• Works closely and effectively with COO to keep him/her well-informed of upcoming commitments and responsibilities, following up appropriately
• Assists in managing communication of the COO, including coordinating calendars, emails, phone calls and in-person meetings as needed, maintaining confidentiality as appropriate
• Acts as gatekeeper to the COO
• Acts as a barometer having a sense for the environment, any issues taking place, and keeping the COO updated
• Researches, prioritizes, and follows up on issues and concerns, as assigned by COO, assisting in determination of appropriate course of action, referral, or response
• Maintains high-level understanding of interdepartmental process as to assist in facilitating appropriate communication
• Maintains basic knowledge of day-to-day processes of departments under the COO, to assist in resourcing as needed
• Maintains effective relationships and communications with departments outside of the Office of the COO
• Coordinates departmental events and provide logistical support
• Facilitates special projects as assigned
• Provides project management support for complex planning and execution of COO-related initiatives
• Prioritizes conflicting needs; handling matters expeditiously and proactively
• Independently demonstrates follow-through on projects to successful completion, often with deadline pressures
• Performs other tasks as may be necessary to facilitate the work of the COO
• Provides back up support /coverage for CEO desk as needed
