Amazon Studios is the movies and television development and production arm of Amazon. It is our role to produce original content and license studio programs worldwide in exclusive service of Amazon's Prime Video customers. We need your passion, innovative ideas, and creativity to help take us to new heights.
We are seeking an experienced coordinator to support the head of production real estate in building our team's global physical presence and operating plan. We are looking for a creative, strategic, and administratively adept person with a passion for television, movies & real estate who thrives in a highly collaborative environment but is also comfortable working autonomously.
You will be supporting both executive administration and production real estate initiatives. You will be completing strategic team projects, while reacting with urgency to situations and events that require quick response or turnaround. You will use your excellent communication and written skills to respond to situations and requests from production executives, line producers, and production managers throughout the world. In a post Covid-19 environment, you will be required to travel 25% of the time including international travel and you will be required to work from Amazon Studios headquarters in Culver City, California.
Responsibilities:
• Develop and maintain day-to-day schedules prioritizing activities with good judgment and business understanding, proactively identifying and resolving scheduling conflicts
• Facilitate coordination, documentation, and communication for inter-departmental meetings and outcomes across multiple time zones and countries
• Maintain a bookings and studio availability database
• Maintain/organize all production leases/license agreements for all productions
• Track and drive completion of key deliverables and follow up on outstanding items as needed
• Own on-boarding process and space management and tracking for global production facilities under lease
• Forge working relationships with studio facility operators and vendors around the world
• Manage all administrative support functions, including meeting preparation, such as distributing copies, video and conference call coordination, supply ordering, and team event coordination
• Plan and maintain annual calendar of events and schedules
• Support the head of department in all internal and external facing projects, requests, and negotiations including intensive note taking
• Interface with all levels of Amazon Studios, IMDb TV, X-Ray, Prime Video, Global Real Estate & Facilities (GREF) and Amazon employees, and assist in communication with internal/external stakeholders on a daily basis
• Perform internal and external research on topics including stage availabilities, production office availabilities, policies, procedures, post mortems, vendors, market trends, etc.
• Shadow and eventually participate in lease negotiations
• Contribute as a member of the production operations team to ensure group success, including working closely with production executives, coordinators, line producers and production managers
• Assist with production operations team trainings and workshops
• Work closely with other Studios coordinators to develop best practices for the production real estate and operations team
• Manage domestic and international travel itineraries and expense reports as required
• Domestic and international travel as required in support of the head of production real estate
Qualifications
• Bachelor's Degree
• 2 years of experience as an assistant at a studio or production company
• 1 years of on-set physical production experience
• BA/BS or equivalent experience
• 2 years' experience as an assistant or EA at a studio, post production vendor, post production company, or production/studio facility
• Experience coordinating, documenting, and communicating inter-departmental meetings and outcomes
• Experience using productivity and communications tools including Microsoft Outlook, Excel, Powerpoint, Word, Slack & Box.
