JOB SUMMARY: The AIDS/LifeCycle (ALC) Production Coordinator is responsible for providing support and assistance to the ALC Production Team for the ALC event season, comprised of 20+ events across California annually, in addition to our annual 7-day bicycle event occurring each June. This position is also responsible for the day-to-day management of the AIDS/LifeCycle Southern California office, to create and maintain a suitable working environment for the Southern California ALC team.
ESSENTIAL FUNCTIONS:
1) Provide event production and planning support throughout the season to the ALC Production team, comprised of 9 people split between two offices;
2) Maintain annual production calendar and assist with maintenance of event production budgets, including expense submission and budget tracking;
3) Collaborate on the creation and distribution of production schedules, staffing lists, contact lists, and other production documents;
4) Coordinates travel for ALC staffers as needed throughout the season;
5) Work with vendors to secure cost estimates for services, and manage vendors on-site at events;
6) Participate with ALC Staff and ensure the Upload and Download of all supplies and equipment needed for events;
7) On-site at events, work with vendors and staff to ensure effective and efficient execution of event plans to create a positive and life-affirming experience for participants;
8) Attend at all SoCal regional events, the 7-day Ride event in June, and other events as assigned;
9) Some travel to and from San Francisco is required throughout the year;
10) Keep the SoCal office neat, tidy, and organized; lead post-event office clean-up to return supplies and equipment back into their storage areas quickly and efficiently;
11) Coordinate with vendors, agency IT, Facilities, and other departments to order needed office supplies, equipment, and furniture;
12) Coordinate meetings, including reserving space and AV equipment, ordering catering, etc.;
13) Submit invoices for payment, reconcile expense accounts for SoCal Directors and Managers, submit employee expense reports to agency finance departments;
14) Maintain and coordinate the management of organizational accounts;
15) Other duties as assigned;
JOB QUALIFICATIONS AND EXPERIENCE:
1) Knowledge of or experience working with the LGBTQ community and familiarity with issues of particular relevance to LGBTQ people;
2) A passion for the Center's work and its mission to make the world a better place for LGBTQ people;
3) Minimum 1 year of event production experience or relevant experience strongly preferred;
4) Experience managing an office space preferred;
5) Expertise in Microsoft Office Suite, Google Suite products, and general office equipment;
6) Experience reconciling expense reports & expense tracking;
7) The AIDS/LifeCycle on-event production involves working long hours each day, up to 20 hours per day on event; The position requires travel, working nights and weekends, camping outside, lifting, loading, and setting up and tearing down for events;
8) Ability to remain calm under stress in a fast-paced working environment;
9) Excellent written and verbal communications skills, including strong organizational, detail, and interpersonal skills;
10) Excellence at juggling multiple and often competing priorities and deadlines;
11) Demonstrated ability to work effectively with people of diverse races, ethnicities, nationalities, sexual orientations, gender identities, gender expression, socio-economic backgrounds, religions, ages, English-speaking abilities, immigration status, and physical abilities in a multicultural environment.
