Agency for the Performing Arts seeks an Executive Assistant position for SVP. At least two-three years of talent agency/management experience is strongly preferred. The ideal candidate will be coming off the desk of an executive and or Agent with heavy desk load and must be EXTREMELY organized, able to juggle multiple priorities, self-start and self-manage to meet deadlines. Agency experience preferred. This is a fast-paced yet fun environment and perfect for a true go-getter who is eager to learn. MUST be computer savvy, have strong office skills and the ability to work well with others.
Responsibilities include preparing financial reports, coordinating operations projects, managing phone lines, scheduling, dealing with company executives and agents, coordinating bi-coastal projects, and expense and travel report processing. Basic knowledge of business administration and office management are required.

Job Description -
Responsibilities include, but are not limited to:
• Manage calendar and scheduling for team calls/meetings
• Handle meeting preparation logistics
• Provide phone coverage, travel arrangements, and itinerary preparation
• Admin work including photocopying, printing, mailing, and file organization
• Support team in all event preparation including the creation and printing of press documents, itinerary preparation, one sheet creation
• Be on-site at all events and provide support in various roles as outlined ahead of time
• Must be able to work overtime - Events take place weeknights and weekends on a regular basis
Basic Qualifications
• Two - Three years Agency experience preferred. Executive Assistant role OR heavy work load desk
• Proficiency with Microsoft Office - Excel, Word, Outlook, and PowerPoint
• Must be able to maintain confidentiality of sensitive information and work matters
• Must be organized and pay attention to detail
• Basic industry knowledge including executives, media, and talent a plus
• Must be a team player and willing to take on any task as needed
• Work savvy and able to work at fast pace and capable of juggling different projects
• Bachelor's Degree
