Full Time Job
Duties and Responsibilities:
• Must have experience supporting high-level executives and have the ability to manage multiple administrative tasks simultaneously in a fast-paced environment.
• Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy. Experienced at rolling calls.
• Strong organizational skills and extreme attention to detail, ability to multi-task and organize multiple projects, with excellent follow through. Must be able to anticipate the needs of the executive and the team.
• Maintain busy executive calendar, including setting internal and external meetings, establishing conference calls, and coordinating calls and meetings over multiple time zones.
• Coordinating travel and preparing expense reports.
• Acquiring credentials and experience with major film/TV festivals/markets (Cannes, Berlin, etc.).
• Assistant will be heavily involved in the organization of a full sales launch of high budget films. Will gain a
view of how films are acquired, greenlit and launched to raise financing, working with Independent distributors, studios and streamers. Will work heavily with scripts, marketing materials, sales sheets and agreements.
• Composes and distributes professional correspondence and memoranda and emails, using individual initiative and as assigned.
• Proactively establishes, and maintains highly organized filing system; files correspondence and other records.
• Prepares and distributes agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.
• Attends meetings and other functions as needed.
• Assists with special projects as assigned.
• Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
• Performs other related duties as assigned.
Qualifications:
• Bachelor's degree (B.A.) or equivalent
• Minimum 3 years' experience at an agency (preferred), studio or production company working for high-
level executives.
• Excellent verbal and written communication skills.
• Commitment to excellence and high standards.
• Ability to work on complex projects with general direction and minimal guidance.
• Ability to deal effectively with a diversity of individuals at all organizational levels.
• Good judgement with the ability to make timely and sound decisions.
• Creative, flexible, and innovative team player.
• PC Skills: Advanced skills in Microsoft Word, Excel, PowerPoint, MS Outlook, Google docs, Zoom, Teams
