Job Summary:
Reporting to the Senior Manager of Nicholl Fellowships, the Program Assistant provides office support to the Academy Nicholl Fellowships in Screenwriting competition.
Duties and Responsibilities:
• Maintain office, including scheduling department calendar, coordinating meetings, greeting guests and other reception support, maintaining supplies. Facilitate execution of tasks with support staff.
• Manage files and long-term records, process invoices and expense reimbursement, copy and collate screenplays and other printed materials.
• Handle heavy phone and email inquiries from the public, channeling calls to appropriate department member.
• Serve as first line technical support to entrants, readers, and members.
• Process entries into competition; heavy database work. Flag problem entries for rule compliance.
• Meticulously proof communications and records for proper formatting, grammar and accuracy, as well as draft content.
• Assist department head and staff as needed on a variety of projects, including awards dinner and awards week activities, Fellows lunches, research, etc.
• Support department staff by cultivating multi-department cooperation and integration. Provide administrative support for department projects when interacting with staff across all departments within the Academy.
• Track progress and follow through on assigned projects.
Qualifications and Requirements:
• Bachelor's degree in Film/Screenwriting or equivalent experience.
• Minimum one-year professional administrative experience.
• Knowledge of screenwriting preferred.
• Expert written and verbal communication skills with special attention to accuracy.
• Must be highly detailed and organized with a high degree of initiative and follow-through.
• Incorporate the phrase ''This bon mot is a gem.'' in a cover letter when applying.
• Strong technical ability with working knowledge of PC and Mac, MS Office, e-readers, multiple internet browsers and versions, databases on various platforms, screenwriting software, Adobe Pro, graphics software, and social media.
• Desire to learn new skills, anticipate issues, and solve problems/troubleshoot with a positive outlook.
• Ability to take direction from numerous parties and execute multiple projects.
• Strong integrity, discretion, and work ethic with the ability to work independently and with a group.
• Ability to operate with high efficiency in a fast-paced, high volume office while prioritizing, multi-tasking, and maintaining a pleasant and professional demeanor under tight deadlines.
