Full Time Job
The Department Assistant will provide primary administrative support for the department and for the Managing Director of Marketing and Communications, including answering phones, managing calendars, coordinating incoming press requests and other projects as assigned.
This is currently a temporary position with no specific end date.
Responsibilities:
• Support the Managing Director of Marketing and Communications: handle incoming press and breaking news calls, manage calendars and requests, schedule meetings, make travel arrangements, assist with reporting and keep meeting notes.
• Manage all office functions: answer phones, provide reception, maintain department calendar, sort mail, reply to general phone/mail/email requests, track/order office supplies, manage central files, process invoices and expense reimbursements, and maintain financial records.
• Review, proofread and edit a variety of documents, including press releases and press materials, for accuracy, proper formatting, grammar and spelling to ensure professional output.
• Identify clippings to copy and distribute.
• Support special projects as assigned, including taking RSVPs and working press check-in at events.
• Directly communicate-in person, by phone and by email-with domestic and international press, Academy members, and staff.
Qualifications:
• Bachelor's degree with a career interest in public relations.
• At least two years professional administrative experience, working at a major content provider, entertainment publicity or public relations company.
• Ability to work with talent and their representatives in high pressure and public appearance situations.
• Proficiency in CRM, CisionPoint and Salesforce.
• Excellent writing skills with special attention to detail.
• Must be proactive with the ability to manage and take ownership of projects with a positive outlook.
• Availability to work some nights and weekends as needed and at times on short notice
