Seasonal Department Assistant, Communications
Summary:
The Department Assistant will provide primary administrative support for the department and to the Managing Director of Marketing and Communications, including answering phones, managing calendars, and other projects as assigned. You must be well-organized, extremely efficient, and able to anticipate the needs of a fast-paced office. In addition to being a proactive team member, you must be an excellent communicator who is technically savvy.
This is a seasonal position from November 2019 through the end of February 2020.
Responsibilities:
• Support the Managing Director of Marketing and Communications, including managing calendar, making/scheduling meetings and travel arrangements; and managing phone calls.
• Manage all office functions, including answering the telephone, and providing other reception support; maintaining the department calendar; sorting mail and replying to general phone, mail, or e-mail requests; tracking/ordering office supplies; managing central files, processing invoices and expense reimbursements, and maintaining organized financial records.
• Review, proofread and edit a variety of documents for accuracy, proper formatting, grammar and spelling to ensure professional consistent output; includes drafting press releases and press materials.
• Identify clippings to organize, copy, and distribute media coverage.
• Assist with special projects as assigned, including taking RSVPs and working press check-in at events.
• Directly communicate-in person, by phone and by email-with domestic and international press, Academy members, and staff.
Qualifications:
• Bachelor degree with a career interest in public relations.
• At least two years professional administrative experience, working in entertainment publicity and/or public relations.
• Ability to work discreetly and professionally with high level talent and their representatives in high pressure and public appearance situations.
• Demonstrated computer expertise and experience. Experience with CRM, CisionPoint and Salesforce a plus.
• Professional verbal and written communication with special attention to detail and accuracy.
• Ability to remain organized while taking direction from numerous parties, managing multiple projects simultaneously and meeting deadlines.
• Strong sense of initiative and willingness to take ownership of projects both small and large in scale with a positive outlook.
• Availability to work some nights and weekends as needed and at times on short notice.
