We are looking for a talented and resourceful Studio Office Manager to join our creative studio, A Hundred Years, in downtown LA.
The Studio Office Manager we are looking for is a proactive, self-motivated professional with a passion for cultivating a warm, inviting office environment, a strong sense of integrity and the ability to devise creative solutions on the fly. The Studio Office Manager is extremely detail oriented, organized and committed to completing tasks and deadlines on time. He or she is someone who loves a challenge, has the ability to wear many hats and thrives in a fast-paced team environment.
This is an exempt, full-time position, including benefits, for our Los Angeles-based office reporting to the Studio Partner and Director of Technology.
Your Work
The Office Manager will oversee the day-to-day administrative functions of the studio including, but not limited to, facilities management, team-wide administrative assistance, human resources duties, and operational support.
Hosting & Facilities Management
• Greet visitors, answer phone calls and provide front desk support to guest and clients
• Daily set up and prep of meeting spaces and common areas
• Keep the office area clean, organized and maintain a cozy, welcoming atmosphere for our team members
• Handle studio repairs & maintenance needs
Administrative Assistance
• Manage company files, office supplies, and inventory
• Maintain office equipment and company-wide software systems and tools (ie: printers, AV, Apple products, WIFI, Dropbox, 1Password, Adobe, etc.)
• Handle clerical tasks such as shipping, returns, deposits, and booking travel
• Calendar management and scheduling
• Help coordinate client meetings and team events and prepare for client visits.
• Provide administrative support to directors and executives
Human Resources
• Onboard and offboard new contractors and employees
• Create and curate a weekly newsletter updating the team on upcoming schedules and activities.
• Implement company-wide compliance procedures and best practices
Resourcing
• Ensure all team members input their weekly timesheets on time and accurately
• Assist production team by updating current and potential projects in 10K Plans
• Prep and lead the weekly resourcing meeting
This role is particularly suited for growth into an operations/studio manager position.
Qualifications
• Strong interest in creating positive impact
• Experience in office administration
• Proficiency in Google Calendar, MS Word, MS Excel
• Familiarity with Apple products including Keynote & Pages.
• Strong organizational and time management skills with excellent attention to detail and follow-through
• Tech-savvy sensibilities with an understanding and utilization of the internet, wifi, and cloud-based systems.
• Personable with excellent communication skills
• Strong sense of discretion and professionalism and integrity in handling matters with the highest degree of confidentiality
• Ability to be results focused in a fast-paced environment
• Ability to balance work independently with minimal supervision and be able to respond effectively to competing priorities
• Interest in digital design and production
