Full Time Job
Summary:
Provide administrative support to multiple Legal & Business Affairs executives/lawyers serving the areas of Rights & Clearances, Standards & Practices, Content Production & Risk, International, and Digital Media.
Primary Duties:
Drafting and Contract Management role:
-Create, revise and draft basics of documents (e.g., Deal Memos and Standard Terms and Conditions) under supervision of attorney.
-Analyze different drafts of agreements for comparison of language and terms prior to execution.
-Create, distribute, and maintain organized files and tracking spreadsheets (paper and electronic).
-Manage and organize paper flow including drafting cover letters, preparing agreements for signatures, returning originals to clients, payment processing and filing in legal electronic document system, eDocs.
-Request and manage licenses required for use of music in A E's promos, review licenses from outside publishers, and ensure deadlines for payment and signature are met.
Legal Research role:
-Perform legal and copyright research via the Internet or other means for: pre-production legal concerns for scripted movies/series & reality productions, litigation, privacy issues, digital matters, and standards & practices related issues and policies.
-Conduct and oversee due diligence on new foreign clients to assess business risk and ensure OFAC compliance.
Finance/Budget role:
-Assist with creation of budget spreadsheets in Excel pertaining to the L&BA department budget; perform financial research and analysis using A/P system.
-Act as department liaison to Finance and Production departments to process outside counsel bills, and payments for third party licenses.
Standards & Practices role:
-Work with S&P executives on live programming handling legal privacy and standards & practices decisions in a live studio atmosphere on scheduled nights.
-Create presentations in PowerPoint with embedded media, and compile presentation materials.
-Compile monthly programming reports (PACs) and distribute to Standards & Practices, Music and Content Production executives.
-Assist with competitive programming review and management of reporting for Standards & Practices.
Rights Management role:
-Analyze and interpret third party renewal agreements (music, footage, photo, location and talent releases) for media rights and enter revised rights into rights management system, Jaguar.
General Administrative Support:
-Manage schedules, expenses, and travel arrangements. Responsible for making dining reservations for client meetings, setting up video and other conference calls, and reserving conference rooms.
-Handle departmental administrative duties as assigned and other tasks such as managing department vacation calendar; organizing department weekly meetings and catering orders; and
managing department phone lists.
-Serve as administrative support for certain functions within Rights & Clearances and Standards & Practices departments.
Qualification Requirements Minimum of 1-3 years administrative experience required, legal administrative experience working with contracts strongly preferred, and past experience or interest working in the television business a plus.
Advanced level of Microsoft Word, Excel and PowerPoint.
Experience creating presentations using embedded video and other materials.
Must be able to juggle multiple tasks with ease and be proactive.
Superior word processing skills.
Strong proofreading and writing and communication skills.
Maturity and good judgment ''a must'' as this position will be dealing with confidential documents on a regular basis. Ability to interact with senior level executives and outside counsel over the phone and email.
Internet and systems savvy a must.
Candidate must be a team player who is organized, detail-oriented, and who takes initiative.
Educational Requirements Bachelor's Degree required
Paralegal certification a plus
