JOB TITLE: Sales Support Co-ordinator (12 MONTH FIXED TERM CONTRACT)
JOB SUMMARY
This position is an exciting opportunity in the busy International Programme sales team in Viacom. A successful candidate will be responsible for supporting the sale of programmes from all the Viacom brands (including MTV, Nickelodeon, Spike, Comedy Central, Channel 5) to broadcasters and digital platforms in their assigned territories. The role is dually responsible for supporting the UK, CEE, RCIS and GSA sales teams, including all daily administrative and sales related activities, including hands-on sales and revenue generation (Avails reports, deal memos and after-deal client care, financial tracking and financial reports).
The after-sales/client-servicing part of the role is about seeing the deal through from sales executive’s negotiated terms to executed contract (Deal memo and internal processes coordination), delivery of materials and tracking of deal related payment in cooperation with finance and operation team, client ratings gathering and point of contact for stakeholder’s requests related to the region.
Sales coordination for CEE, RCIS & GSA Diary Management and expenses for Sales Director, Sales Executive and Format Manager as well as directly related tasks for Head of Formats.
Responsibility over periodically distributed reports
Adhoc general office support
KEY RESPONSIBILITIES
Sales:
• Management of forecast and achievement of budget in selected territories, in conjunction with IPS Executive/Manager/Director.
• Research into selected markets in order to generate new, ex-budget opportunities.
• Ensuring strong client relations
• Taking responsibility for strong and current knowledge of IPS catalogue, processes and market related expertise
• Field trips/market attendance as relevant
Contract Administration:
Keep abreast of status of all deals and alert relevant sales person to any issues with delivery/revenue recognition, working in close communication with the sales operations, legal and finance contacts.
Chase up outstanding contracts when necessary.
Sales Support:
• Drawing up sales reports as necessary, summarizing sales activity by title or territory
• Collating availability reports for both English language and foreign language titles
• Maintain and update broadcast information of all key properties and branded blocks within the territories on a quarterly basis (otherwise instructed by the sales/CP teams), with the rest of the support team
• Maintain list of all deals in negotiation and signed, to be submitted to IPS Sales and Marketing Coordinator on a fortnightly basis for the Press department
• Supporting sales team on sales follow up, deal/amendment memo collation, client after care, materials requirements and deliveries
• Ad hoc report generation for sales team
• Research programming and obtain ratings information as required, both from clients and from internal channel/research teams
• Create presentations and sales decks as and when required
• Working with the sales operations and finance contacts for your team’s territories maintaining and communicating updates for all forecasted deals in line with cluster tracking and monthly/quarterly/year end revenue calls
• Manage the entire Financial Tracking cycles for the respective IPS team and liaise with the finance and sales operations contacts accordingly
Operations:
• Point of contact between International operations and NY and Europe
• Update and follow up all materials orders for clients - working with appropriate depts in NY, London and local channel offices (operations, press, production)
• Request support material & press material from IPS Sales and Marketing Coordinator or directly from NY
• Co-ordinate access/duplication of foreign language dubs when required, both from MTV Networks channels and external clients
Administrative for respective team:
• Point person for all basic team coordination and administration, (new starter induction, hardware/IT orders, business card orders, registration for market events, etc.)
• Field all incoming calls, post and communication for the sales team
• Arrange meetings, both internal and external. Book video-conferences, telephone-conferences and meeting rooms where relevant
• Diary Management for respective sales team including organisation of trips and TV markets, booking meetings, hotels, travel and taxis, sales material, program listings etc
• Record and report all costs of travel and accommodation, working with Executive Assistant and Finance Director
• Maintain client database and Outlook contacts for sales and marketing purposes. Update sales team personal information for internal purposes
• Point person for all sales team/client queries
• Interact with Consumer Products and brand teams on behalf of sales
• Screen and keep across all new shows represented by Sales team
• Process expense claim forms & invoices for sales team
• Oversees and coordinates screener processing – tracking and ordering screener performed by Sales Intern for clients on behalf of sales team
• Prepare sales and availability reports for sales team. Ad hoc report creation as requested by sales team
• Work with Sales Coordinator and Executive Assistant on various projects as requested (PowerPoint presentations, spread sheets, event co-ordination etc.)
• Maintain and update with sales intern broadcast information of all key properties and branded blocks within the territories on a quarterly basis (otherwise instructed by the sales/CP teams), with the rest of the support team
• Maintain list of all deals in negotiation and signed, to be submitted on a fortnightly basis for the Press department
• Host team meetings alongside the EA and sales Intern on a rota basis
• Collate information for various reports on a regular basis (bi-weekly, monthly) for internal reference including highlights for the senior management (bi-monthly ‘Bob Bullets’ )
• Assist the SVP when EA is away/on holiday
ROLE-SPECIFIC SKILLS/ATTRIBUTES
Job specific Skills
• Previous experience of working at a Television / programme sales / distribution environment
• Previous experience of contract management and rights management systems an advantage
• Strong numeric skills and capable of handling advanced Excel documents, manipulating data and presenting numerical scenarios
• Proficient in Word with strong PowerPoint skills
• Good understanding of marketing an advantage
• Knowledge of a second language useful but not essential
• A passion for sales and the television industry
• Strong attention to detail
