Viacom International Media Networks UK & Ireland is home to 20 TV channels that offer the very best in music, entertainment, comedy and kids programming through our MTV, Comedy Central, Nickelodeon, 5 and BET brands.
A great opportunity has arisen for an experience Personal Assistant to join the team and support our Senior VP of Technology. You will be responsible for managing complex diaries, booking and arranging international travel itinerary’s and organising logistics for meetings and events.
This role is ideal for you if you have excellent administration skills coupled with a proactive and friendly approach. As the first point of contact for the department you’ll build a network of contacts internally and externally, and will have a helpful approach to day to day tasks.
Key responsibilities include;
• Complex diary management including booking and arranging meetings and conference calls across time zones.
• Managing SVP’s diary / inbox, action any requests, flagging items for attention
• Travel Management – booking all flights, hotels. taxis & transfers, as well as organising visas as needed for SVP.
• External Conference registration & coordination nationally and internationally (e.g IBC, NAB etc) including travel arrangements for attendees.
• Organising hospitality and technology requirements for meetings happening internally including food & refreshments.
• Create monthly reports to be submitted to finance on sickness and annual leave across technology.
• Maintain and record up-to-date absences for IT department and receive self certification forms for all of technology.
• Managing (collating and submitting) and submitting own and SVPs expenses through finance
• Taking Responsibility for the management of the Techonology Apartment – managing relationship with landlord and arranging guests.
• Ordering office stationery & equipment.
Role Specific Skills Required;
• Proven experience in a PA role, supporting at a senior management level
• Excellent administration and organisation skills are essential
• Advanced computer skills – in Microsoft Word, Excel, PowerPoint, Outlook
• Ability to prioritise and cope efficiently and calmly with a diverse workload.
• Ability maintain clear communications and good relationship with all VPs direct reports, team leaders and broadcast department coordinator.
• Must be comfortable in working alone, setting and managing own work load.
• The ability to think quickly, clearly and concisely and confident to make decisions on behalf of the VP / business.
