Full Time Job
The Coordinator will be an integral part of the team working on multiple projects at once, servicing multiple stakeholders, a high level of communication, organization and computer skills will be critical for success.
Basic Qualifications
• Provide broad administrative support for four department executives
• Answer phones, schedule appointments/confirm meetings/maintain daily schedules, photocopy material, facsimile/e-mail distribution and route incoming and outgoing mail that may include large distribution lists
• Internal and external distribution of agreements and correspondence
• Maintain status charts of open deals and outstanding agreements and follow up accordingly
• Document and track options and notice dates for talent, producers, etc. and distribute weekly across entire network
• Compose and generate letters and notices as well as back-up proof read and edit documents prepared by attorneys
• Assist in the preparation of first draft agreements for production and development projects
• Generate Travel and Expense Reports
• Liaise with internal departments and external entities as needed
• File correspondence and legal documents in digital filing database
Additional Qualifications
• BA/BS degree
• Minimum of 2 years of administrative experience
• Ability to work in a deadline-driven environment and handle multiple projects / tasks with an attention to detail
• Advanced or expert in computer skills: Word, Excel, Outlook, PowerPoint.
• Possesses superior customer service skills. Displays independent judgment, finesse and diplomacy in all situations
• Capable of managing highly confidential information.
• Team player who is willing to help out as needed
• Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external clients and senior management.
• Must be organized and detail oriented with the ability to manage multiple high priorities and have the ability to appropriately prioritize work and proactively anticipate and manage time.
