TIFF, a vibrant not-for-profit arts organization, is hiring for the full-time position of:
Manager, Facilities
Reporting to the Senior Manager, Facilities the Manager will oversee day to day operations, maintenance, and capital projects at the Tiff Bell Lightbox.
The Facilities team works closely with all departments within the organization ensuring a safe and clean environment for staff and guests. The Manager will play an integral role by supporting the security and housekeeping teams, working closely with contracted service providers, and maintaining standards that are in line with those set out by regulatory authorities.
Responsibilities
• Coordinate and oversee preventative maintenance and negotiate/tender annual contracts
• Review and monitor contracted work (ie. cleaners, contractors, etc.) ensuring compliance with TIFF standards
• Obtain quotes and oversee projects ensuring work is completed on time and on budget
• Attend regularly scheduled meetings with contractors and internal departments communicating effectively with all parts of the organization
• Create, submit, and manage all work orders; review work orders daily to ensure tasks are complete
• Complete regularly scheduled building checks/inspections and create work orders based on findings
• Create purchase orders and maintain/update department budget and financial reports
• Support internal departments with event and other programming schedules, setups, and financial settlements
• Other duties as assigned
Minimum Requirements
• Thorough understanding of base building systems (ie. HVAC, fire alarm, sprinklers and standpipe, elevators, escalators, etc.)
• Experience supervising both unionized and non-unionized staff, managing schedules and reviewing/approving timesheets
• Superior communication skills, both verbal and written
• Excellent organizational skills with a strong attention to detail
• Ability to work both independently and in a group environment
• Excellent computer skills and strong proficiency using Microsoft Excel, Microsoft Word, PowerPoint, Google software products, and other applications
• Ability to maintain a calm, professional demeanor and troubleshoot in a fast-paced environment
• Adaptable to a flexible work schedule including some evenings and weekends
