DIGIPLAYSPACE COORDINATOR – Lead Candidate Identified
digiPlaySpace is a 9-week interactive exhibition showcasing artworks from established and emerging new media artists. Aimed at kids aged 3-13, digiPlaySpace seeks to empower kids through understanding, creativity, and play and to inspire and transform through artistic expression. For parents and educators, digiPlaySpace aims to endow adults with tools, concepts, and ideas that support the use of technology as a means of creative expression.
Reporting to the Senior Coordinator, Youth Learning, the digiPlaySpace Coordinator's role is to provide administrative support to ensure the successful execution of programming in digiPlaySpace. This role provides direction and support for the team of facilitators and volunteers and will liaise with internal department representatives as necessary to maintain the smooth operation of the exhibition.
Responsibilities
shall include but not be limited to:
• Provide administrative support to the build and install of digiPlaySpace, assisting with coordinating and tracking shipments, contracts, equipment, materials and supplies
• Assist with interviewing and hiring of digiPlaySpace facilitators and corresponding paperwork
• Create an orientation manual and schedule an orientation session for digiPlaySpace facilitators
• Provide all aspects of administrative support related to scheduling digiPlaySpace facilitators includingupdating and reporting weekly on the schedule
• Maintain staff scheduling and budget spreadsheets
• Liaise regularly with all of the Facilitators to ensure that the daily staffing needs of the exhibition are met and that each installation is properly staffed/supervised and supply inventory is met, based on the daily requirements
• Liaise with Youth Learning staff to determine school schedules and appropriate engagement with the exhibition, considering time, grade and experience
• Ensure that the schedule is updated regularly throughout the exhibition to meet the demands and requirements of School Group bookings
• Fill in as a Facilitator, as necessary
• Liaise with other departments such as Front of House, Volunteers and Ticketing Services to provide updates on scheduling
• Work closely with Front of House and Ticketing Services teams to ensure ongoing communication around Visitor Experience
• Purchase supplies and/or handle petty cash
• Ensure maintenance of stations and troubleshoot where necessary in communication with Technical team
• In digiPlaySpace, first point of contact for public inquiries
• Write a detailed postmortem
• Other duties as required
Minimum Requirements
• Previous administrative and scheduling experience
• Exemplary telephone and inter-personal communication skills
• Detail and process oriented with strong administrative and organizational skills
• Mature personal judgment, exhibiting a high level of professionalism and diplomacy
• Ability to handle difficult situations and people with aplomb and grace
• Ability to work both independently and in a small team environment
• Desire and ability to take initiative and coordinate projects with energy and enthusiasm
• Strong computer skills (including Microsoft Word and Excel)
• Ability to work and respond well in fast-paced and high pressure environments with a flexible schedule, including some evenings and weekends
• Comfortable with Technical troubleshooting
• Successful applicant will be expected pass a vulnerable sector check
• Experience speaking in front of an audience
• French fluency is an asset
• Experience working with children and youth an asset
