TIFF, a vibrant not-for-profit arts organization, is hiring for the full-time position of:
Assistant, Event Bookings
Reporting to the Manager, Event Partnerships & Bookings, the Assistant will be responsible for supporting the successful booking and administration of events at TIFF Bell Lightbox.
Responsibilities
• Oversee Bookings communications: respond to a high volume of inquiries by email and phone; maintain and update communication documents such as event inquiry forms, form letters, etc.
• Oversee intake of online event inquiries via Google form.
• Support Coordinator, Event Bookings in booking and executing Industry Private Screenings, both year-round and Festival.
• Liaise with colleagues from relevant departments for successful pre-production of assigned events.
• Book and maintain internal event requests in TIFF Bell Lightbox calendar.
• Organize external event inquiries for review by Manager, Event Partnerships & Bookings.
• Prepare Event Estimates and Venue License Agreements for assigned events.
• Submit deposit invoices, as required.
• Accurately build and maintain events and resources in Event Management System (Artifax).
• Disseminate schedule change information emails to relevant internal departments.
• Provide site visits and tours of TIFF Bell Lightbox for prospective clients.
• Support Manager, Event Partnerships & Bookings in creating and maintaining revenue tracking documents.
• Update and submit departmental sales and marketing assets for production, as assigned.
• Record and disseminate meeting minutes, as required.
• Other administrative tasks, as required.
Minimum Requirements
• University degree, community college diploma or equivalent work experience.
• Minimum 1 year experience in the area of Event Sales, Hospitality, and Event Planning.
• Well developed administrative and organizational skills, with the ability to multi-task.
• Well developed verbal and written communication skills.
• Well developed interpersonal skills.
• Excellent attention to detail, budgets, timelines, and objectives.
• Strong project coordination skills.
• Ability to work both independently and in a team environment.
• Committed to providing superior client service.
• Experience working in a non-profit arts organization considered an asset.
• Knowledge of Event Management Systems an asset, specifically Artifax.
• Adaptable to a flexible work schedule including some evenings and weekends, as needed.
