Purpose
BEN is seeking an Office Assistant to perform administrative and reception duties for a team of busy executives. The ideal candidate is detailed, reliable, and resourceful. The Office Assistant is the initial point of contact for BEN's New York office, located in the Hudson Square neighborhood. The Office Assistant manages schedules, arranges travel, coordinates meetings, conference calls, on and offsite meetings and events, etc. The work requires some analysis and use of initiative and independent judgment with frequent access to confidential and complex information. Thorough knowledge of policies, practices, and procedures to ensure the office is functioning smoothly.
Responsibilities
(including but not limited to):
• Initial point of contact for New York office
• Reception duties
• Arrange travel, including flights, hotels and rental cars
• Handle confidential material relevant to company operations
• Prepare and distribute meeting notes and action items as requested
• Prepare expense reports
• Manage office supply orders
• Arrange and coordinate onsite and offsite meetings and events, including the use of conference rooms, outside facilities, food and beverage, audiovisual equipment and other logistics, as needed
• Prepare and edit correspondence, communications, presentations and other documents
• Full office management, including overseeing office equipment (copier/printer) and kitchen
• Provide general administrative support, as needed
Qualifications:
• 3-5 years' experience as an administrative assistant in a corporate setting
• Bachelor's degree preferred
• Professional appearance and presentation
• Excellent verbal and written communication skills and interpersonal skills
• Proficient computer skills and in-depth knowledge of relevant software, including Microsoft Office Suite
• Impeccable discretion and independent judgment with respect to confidential matters
• Excellent organizational skills
• Detail oriented
• Team player
• Dependable and responsive to emails, phone calls, etc
• Superb follow-up skills
• Basic understanding of marketing and advertising terms and processes
