Considerations: Position is typically lodged in Park City, UT during the January Film Festival (lodging requirement determined annually). In addition, this role is required to work extended hours (evenings, weekends, some holidays) during key points and must be willing and available to respond to on-call needs as assigned.
Position Summary: Coordinates administrative and operational duties to process Festival credentials and support the Credential Department.
Duties and Responsibilities:
• Coordinates meetings, including taking and distributing minutes, submitting expense reports for the department, etc.
• Develops and maintains detailed project schedules, including all administrative tasks and acting as a liaison between both department and stakeholders (internal and external) involved.
• Coordinates activities and resources for department projects that impact multiple departments or for multiple projects.
• Drafts correspondences and prepares presentations as directed.
• Assists with creating approximately 27,000 credentials, includes auditing submitted information, reformatting photo files, etc.
• Runs routine tests and tracks reprints to ensure credential barcodes link correctly to the ticketing and scanning system.
• Tracks and maintains proper levels of credential inventory (badge stock, badge holders, holographic stickers, printer ink cartridges, lanyards, etc.) and orders equipment and supplies as directed.
• Upholds credential policies and procedures at all times and provides accurate instructions for departments as needed.
• Maintains an accurate and organized credential photo database.
• Inputs accurate records on processing, printing, receipt, and distribution of credentials.
• Facilitates staff trainings on the ticketing system, procedures, deadlines, etc. as requested.
• Assists Festival Associate Manager with various projects, such as requesting and scheduling credential volunteers, providing feedback back on volunteer evaluations, scheduling trainings, etc.
• Documents credential issues and concerns and escalates issues to manager when necessary.
• Provides a detailed report of work completed, procedures, and operations of position.
• Other duties as assigned.
Position Requirements:
• Employee has legal authorization to work in the United States.
• 2 years experience in administrative operational work or related.
• Working knowledge of databases along with proficiency in Microsoft and Google Products.
• Outstanding communication skills, telephone, written and interpersonal skills required to work effectively with a wide variety of people.
• Excellent organizational skills including self management of work schedule ability to multi-task in a fast-paced environment.
• Working knowledge and skills with formatting digital photos, cameras, and scanners.
• Ability to work nights and weekends around events and key deadlines and events.
• Able to lift, carry and push items up to 50 lbs.
Preferred Education
, Experience and Skills:
• Experience working with TopTix or another ticketing system preferred.
• Experience facilitating trainings for large groups preferred.
