Admin Assistant II, Media - Motion Picture Group
The Theatrical Domestic Media & Promotions Department is responsible for managing Sony's annual advertising budget; developing and executing all media campaigns; ideation, execution, production and stewardship of all media promotions & marketing added value programs; allocating and pairing creative messages to the consumer and their media consumption; plus research and analysis of consumer trends and media innovations.
Provide full range of administrative support for two SVPs including handling phones, calendars, printing & filing, meeting coordination and expense reports. Additionally, this position will provide departmental support in a variety of areas such as liaising with finance for new vendors & processing promotional invoices, issuing market grosses & daily airtimes and generation of media campaign recaps and projects as needed, etc.
Job Description:
• Handling phone coverage
• Phone coverage back-up to EVP & others in department
• Scheduling and preparing for meetings which can include conference room prep, agendas, calendar invites and distribution of pertinent documents
• Managing document flow- including distributing documents, creating and maintaining up-to-date files (electronic and hard copy)
• Checking and issuing daily campaign airtimes filmmakers and upper management. Which involves:
• Cross checking and confirming schedules
• Ensuring our media spots are positioned well with the networks; If not, flagging areas of concern
• Issuing opening weekend market grosses to team for planning post support media
• Media promotions invoice liaison with finance department, responsible for coordinating invoice processing & new vendor forms
• Tracking budget, and keeping invoices and records up to date
• Responsible for creation and maintenance of various media campaign summary documents– including recaps for SVPs & select management requests, campaign calendar inputs and misc projects as needed
• Tracking and keeping up to date of any changes in campaign strategy, deadlines, important meetings, budget, etc.
• Supporting role for media plan presentations – slide design & creation and analysis
• Other general administrative duties (processing mail, copying, ordering office supplies, expense reports, travel arrangements etc.)
Job Requirements:
• 3 to 5 years of experience as an administrative assistant, preferably in entertainment or corporate environment
• Proficient computer skills (Microsoft Office – Word, Excel & PowerPoint, Outlook, Google Docs, Photoshop a plus)
• Exceptional organizational and interpersonal skills – looking for someone with a positive, welcoming style, a ''can do'' spirit and a team player attitude
• Strong communication skills – written and verbal. Needs to prioritize communication of information to key players & be professional in tone
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be able to consistently meet deadlines
• Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Common sense, dependability, discretion and attention to detail are required
