Full Time Job
Responsibilities:
• Act as a liaison between the supervisors and a wide array of internal and external contacts including senior management, outside industry contacts, artists, artist managers, internal departments, etc.
• Screen and direct incoming calls and emails.
• Coordinate access to and maintain each supervisor’s schedule by planning and scheduling meetings, conferences, and teleconferences.
• Coordinate travel, entertainment and transportation arrangements for supervisors as well as artists.
• Prepare business expense reports in a timely, accurate, and efficient manner.
• Coordinate and draft correspondence and presentations using MS Word, Excel, and PowerPoint.
• Maintain mailing and e-mail lists, databases, files and other assets for the department.
• Order and maintain music product, office supplies and tickets for the department.
• Enter POs and process invoices.
• Pull information from BDS, Mediabase and other sources and create and distribute daily/weekly and monthly reports (including radio recaps) to the Company.
• Compile weekly reports for networks and programmers
• Compile weekly recap report of all video activity to send internally and to managers
• Ensure that all networks receive videos and submission forms by each respective weekly deadline
• Coordinate with production department to get edits requested by networks
• Mail videos to video pools and local/regional video shows.
• Field video requests from other departments and external partners
• Assist with organization of meetings and events including location, set-up, catering, etc.
• Train, supervise, and evaluate interns year-round.
• Provide back-up support for other members of the department as needed.
Qualifications:
• Minimum of 1 year of previous administrative experience.
• Thorough knowledge and understanding of the Microsoft Office Suite (including PowerPoint) and the internet. Knowledge of internal systems a plus.
• Strong written and oral communication skills.

• Prior music industry and radio promotion experience strongly preferred.
