The Administrative Assistant, Sales is responsible for providing support to the SVP, Sales and the Commercial Music Group Sales team by successfully accomplishing the following responsibilities:

Responsibilities:
• Provide general administrative support to the SVP of Sales for Commercial Music Group including expenses, travel, and phones.
• Must be extremely proactive in maintaining SVP calendar/meeting schedule
• Act as point of contact for 15 person sales team, including field staff.
• Provide additional support for VP, Digital Sales, Legacy.
• Work closely with executives and assistants from all Sony Music labels.
• Maintain and provide sales information and reports to staff as needed.
• Pull & send weekly reports including Soundscan, Sony Music Artist 360, & associated consumption tracking reports directly to artists, managers, and Legacy staff each Monday and as requested
• Create presentations as needed for account meetings, management
• Handle gratis orders as requested as well as handle artist orders in the absence of the CMG team assistant
• Maintain all Legacy/Catalog marketing checkbooks and provide updates to product managers of current and future promotions
• Upload, update and submit all new release information to online retailers to coordinate with release schedules and press announcements
• Process invoices and coordinate with finance to get PO#s created and invoices submitted/paid
• Process advertising sales using PRS
• Track new release numbers as they come in through the field and send out grid updates to Legacy team members
• Update sales newsletter weekly to be to entire Sony Music Sales division
• Submit information to RIAA for certifications
Qualifications
Qualifications:
• The ideal candidate holds a Bachelor’s Degree and a minimum of 1 year of administrative experience. Prior experience in music sales/distribution is strongly preferred.
• Must be EXTREMELY detail oriented
• Computer skills: Strong computer skills including MS Office (Word, Excel, PowerPoint & Outlook), Google Sheets and an intimate knowledge of the internet. Will need to learn a variety of other computer systems/dashboards including SAMIS, SMART, CDS, Nielsen Connect and Soundscan.
• Additional skills: A proactive, flexible, self-starter who has strong problem solving, analytic, and interpersonal skills. Exceptional communication and time management skills. Must be able to work independently but be a team player and flexible. The ability to manage time and priorities set and achieve goals and juggle multiple projects/deadlines simultaneously. This individual must be extremely organized; possess excellent follow up skills; and must be able to create and maintain very strong relationships. Must have a passionate commitment to music and artists.
