Responsibilities
Responsibilities:
The Administrative Assistant, Sales is responsible for providing support to the Senior Vice President and the Vice President of National Sales. The position’s responsibilities also include, but are not limited to, the following:
• Perform general administrative support and day-to-day assistance to the SVP and VP. This includes but is not limited to answering phones, calendar maintenance, coordinating meetings and schedule, inputting weekly time sheet data for department and any other required administrative functions.
• Gather and collate all data required for SVP and VP meetings and presentations
• Create PowerPoint pages and presentations for various meetings
• Responsible for maintaining and creating weekly and daily sales reports in PowerPoint, Excel, Word with the assistance of various internal systems such as SMART
• Maintain shared drive of sales information for national and label sales team
• Manage and coordinate department vacation and travel calendar
• Track radio airplay of new release titles and send to field reps to support account solicitations
• Maintain Outlook group email contact list
• Draft and communicate company policy letters to retail and wholesale customer
• Compile sales information and coordinate mailings for independent record stores with the Vice President, National Sale
• Interact closely with National Sales and Field Staff, providing them support on an ad hoc basis
• Maintain accurate and up-to-date Account Profiles for all major active accounts and contacts
Qualifications
Qualifications:
• 1-2 years administrative experience
• Bachelor's Degree preferred
• Knowledge of Microsoft programs and systems including Excel, Word, Powerpoint and Outlook required
• Knowledge of SONY and industry reporting system preferred.
• Highly organized
• Fast learner
• Excellent written and verbal skills
• Working knowledge of the music industry; prior experience in music sales/distribution is preferred
