Scripps Networks Interactive, the leader in lifestyle media with top brands such as HGTV, Food Network, and Travel Channel, is searching for an Administrative Assistant in Miami, FL to join our Latin America and the Caribbean team.
The Administrative Assistant to provide administrative and logistical support to the Managing Director of Latin America and the Caribbean and to the department staff. Job duties will include performing research, communications, clerical functions, and project management support. A successful candidate will be organized and accountable with strong project management skills and a customer service mindset.
Job Description:
What you will be doing:
o Manage and maintain supervisor and department schedules
o Prepare travel plans including making direct or indirect (through travel agents) reservations and purchases for car service, air tickets, hotel and restaurant reservations
o Maintain business card and contact database
o Support management with ongoing projects acting as key coordinator as directed
o Conduct web-based research on various topics as directed
o Prepare expense reports, presentations, reports, letters and other documents as needed
o Read and review incoming correspondence and distribute to appropriate team members
o Prepare responses to correspondence containing routine inquiries
o Answer incoming phone calls, retrieve voice mail, direct messages as appropriate and return phone calls as necessary
o Perform general office management duties such as ordering supplies, coordinating meeting room schedules, maintaining contact with vendors, etc.
o Order meals for team meetings and/or daily office meals
o Coordinate with vendors for office furniture requests and repairs; light maintenance, office/culinary supplies, and office equipment
o Act as liaison for equipment changes or upgrades
o Act as liaison for server issues when requested
o Maintain and troubleshoot office equipment with escalation when necessary
o Work with managers to provide seat assignments and phone numbers in Service Now
o Maintain Compliance posters in lobby or appropriate space
o Maintain facilities key card access system and determine level of security access; issue key card to new employee; replace lost/stolen key cards
o Complete monthly or quarterly testing of panic alarm, Action Alert and AED
o Act as company contact for building security including on-call
o Act as Safety liaison between the VP of Safety/Security and the local office management regarding coordination and notification of local business interruption decisions
o Under supervision of the VP of Enterprise Safety/Security provide local coordination of DR/BCP planning
o Coordinate schedule for CPR certification for the office.
o Coordinate safety plans and drills to include training within office and in coordination with building when necessary
o Perform other duties as needed and as directed by supervisor/management
What you need to have:
o Associates degree from an accredited institution
o Minimum of 4 years of experience in area of responsibility
o Fluent in Spanish and/or Portuguese
It's a plus if you have:
o International and/or industry experience a plus
o Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
o Licensed Notary Public a plus
o Strong PC (or Mac) background, with demonstrated proficiency with Outlook, Excel, Word, Visio, and MS Access and web-based research skills
o Careful listening skills
