Floater (LA Administration)
POSITION PURPOSE: Provides general support for the administration department, including National Director, Directors and members of the Administration department.
ESSENTIAL DUTIES & RESPONSIBILITIES:

• Provide administrative support to National Director, Directors and members of the Administration department.
• Maintain a general knowledge of procedures used in the department.
• Compile data and prepare reports.
• Process and track invoices.
• Review and release office supplies nationally.
• Forward office requests to Day Porters.
• Cover the receptionist desk and mailroom as needed.
• Maintain administrative control of accounts.
• Order, stock and request re-keying of office doors and file cabinets when needed.
• Furniture/Equipment- schedule repairs for office chairs, file cabinets, credenzas and desks, lights, microfiche, kitchen equipment (water and coffee machines).
• Operate mail machine.
• Mail – open departmental mail, stamp and date, separate and distribute.
• Update floor plans for Los Angeles and other local offices using Adobe Illustrator.
• Assist with ergonomic assessments and equipment setup and training.
• Other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES:
(The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of this job with or without reasonable accommodation, using some other combination of skills and abilities.)
• Ability to train new employees and cross-train staff.
• Demonstrate effective skills in the use of PC applications and adobe illustrator.
• Ability to read blue prints.
• Some familiarity with facilities.
• Ability to operate mail machine.
• Excellent phone manners and office interaction skills.
• Experience in the entertainment industry a plus.
• Ability to adapt to a fast paced environment.
• Able to communicate effectively in English, both in verbal and written form.
• Capable of working effectively under pressure, and to organize, prioritize and coordinate multiple tasks under daily deadlines.
• Must be able to work independently and as part of a team.
• Superlative interpersonal skills: high degree of patience and tact. Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds both internally and externally.
• Have an understanding and awareness of worker rights impacting SAG-AFTRA members.
• Hold yourself and others accountable for a high level of performance and integrity.
• Capable of taking direction from more than one supervisor.
• Must be able to work in a challenging environment where constructive feedback from others is encouraged.
• Must maintain regular and acceptable attendance at such level as is determined at SAG-AFTRA's sole discretion.
• Must be available and willing to work extended hours (and/or overtime for applicable non- exempt positions) per day or per week, including weekends as SAG-AFTRA determines is necessary to meet its business needs.
• Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs.
MINIMUM QUALIFICATIONS:
Education
and/or Experience:
• High school diploma, secretarial training and/or an equivalent combination of education and experience
• Experience in the entertainment industry peferred.

TESTING REQUIREMENTS:
• Basic Office Skills test – math, spelling, grammar and filing – passing score: 76%
• Typing 35 WPM
• Word and Excel tests (basic, intermediate and advanced) – passing score: 76%
