Overall: We're growing, and have opened a new Event Producer role. This Event Producer will plan and execute projects on a timely manner and within budget. Interface with the different departments within the company participating in the event (creative, production, ops, finance, legal, etc.) as well as outside vendors and suppliers. Ensure that all company and client procedures and strict quality standards are being followed in the process. This is an external/internal facing position that requires some travel.
Primary responsibilities:
• Think ahead
• Develop and maintain a detailed project plan and timeline
• Identify and determine any resources needed (equipment and personnel) for the successful implementation of a project
• Identify challenges and deftly adapt, always moving the plan forward
• Establish milestones and manage deadlines for the different phases of a project
• Manage day-to-day operational aspects of a project, ensuring that deadlines are met with maximum quality, efficiency, and cost effectiveness
• Source and negotiate with venues
• Organize and coordinate communication between different teams within the company: creative, production, operations, finance, and legal team - ensuring that each team has the information it needs and that the different parameters set by each team are being met
• Define pipelines and processes between the different teams. Identify priorities and manage work schedules of different teams
• Manage project team members to maximize efficiencies and minimize redundancies
• Understand client needs, the internal proposed solution for them, and communicate with any outside vendors implementing proposed solutions
• Participate in regular status meetings with the project team with status updates of each project component and changes
• Provide updates and status reports for management review
• Participate in regular status meetings with the client
• Review deliverables prior to delivery to client
• Manage overall project budgets and maintain all projects within budget targets
• Coordinate and source rental equipment, including delivery and returns from vendors and suppliers
• Coordinate the fabrication and delivery of custom scenic pieces
• Travel onsite and oversee work, acting as liaison between the different departments
• Participate in the event reconciliation with all the department heads
• Participate in event post-mortem with client

Requirements:
• College degree in business, marketing, communication or related discipline.
• 5+ years of experience as an event producer/project manager
• Skilled in budget management and tracking, vendor management, database management
• Ability to travel as needed, up to 40% of the time
• Excellent verbal and written skills
• Ability to understand cross-departmental processes and timelines
• You need to be a leader, taking initiative and seeing beyond the first task in front of you
• Proven record of delivering the impossible is a plus
