Freelance Job
The Production Program Coordinator reports to Senior Production Manager and is responsible for tracking and analyzing the costs, expenses, and freelance hire paperwork associated with all of the Pac 12 Networks Remote Productions.
RESPONSIBILITIES:
• Manage and track the status of 1300 unique remote freelance hires throughout the season:
• Start Paperwork Completion (Entertainment Partners)
• Letters of Agreement Completion (Pac-12 Networks)
• I-9 Completion and Compliance (I-9 Advantage, On-site completion)
• E-verify completion (Arizona and Utah freelancers)
• Verify that each of the above pieces are accurately completed before forwarding to respective agency
• Extensive data entry and database management for all Remote Freelance hires:
• Contact Information
• Paperwork Completion Status
• Job Roles and Associated Rates
• Audit payroll submissions for 850 live events to ensure submitted names/rates are accurately delivered to 3rd party payroll company
• With direct support from the accounting department, the Production Program Coordinator will monitor and trouble -shoot the production payroll and accounting process licensed to the Pac-12 Networks accounting department
• Audit crew sheets for all 850 live events to verify that all hires have completed necessary paperwork for employment prior to the event
• Work closely with Production Managers, Unit Managers, and Remote Crew Schedulers to ensure all freelance hires complete necessary paperwork prior to employment.
• Working closely with the Director of Remote Operations, Director of Travel, Production Managers and the Production Payroll Manager (accounting dept.), they track and manage all production related cost, while analyzing them against each show's post estimated cost and budgets.
• Play an integral part in the annual budgeting process with Production Management developing and maintaining integrated database systems of individual production budgets for 850 Remote and 600 Studio Television Productions.
• Provide regular reports to the Director of Remote Operations and VP of Operation comparing pre and post estimates to actual costs related to all 850 remote productions
• Maintain efficient database for all freelance hires. show codes, pre and post estimated show costs relating to all studio and remote productions for the Production & Production Operations departments
• Support the creation of more efficient processes and analysis relating to the operation and production of over 750 remote and 600 studio productions per year
• Other duties as assigned by supervisor
REQUIREMENTS:
• Must have accounting qualifications and experience in the media business (preferably Sports TV)
• Must have a good working knowledge of TV production processes as well as bookkeeping and accountancy skills
• Financial/accounting background required
• Bachelor's Degree in accounting, finance or equivalent work experience
• Good working knowledge of database programs and files organization
• Extensive knowledge of Google Docs and Microsoft Excel
• Basic knowledge and experience in television/motion picture production accounting required
• Passionate about Pac-12 Sports
• Excellent verbal, analytical, organizational and written communications skills
• Effective interpersonal skills, good judgment and ability to interact with different levels of management and teams
• Demonstrates ability to prioritize under time constraints and work successfully in a fast-paced environment
