Responsibilities The Human Resources & Employee Engagement Administrative Assistant will be responsible for providing a broad range of administrative support and project assistance to the Employee Engagement, Operational Staffing, Employee Communications and Employee Services teams at Universal Studios Hollywood.
• Provide administrative support to VP and Directors including: maintain calendars, phone coverage, arrange travel and process expenses, process confidential documents, creation/submission of purchase orders, file electronic and hard copy documents and track deadlines
• Assist Operational Staffing with high volume database entry
• Track vacation, sick, personal and floating holidays for the department
• Manage daily work processes through multiple HR systems; applicant tracking, interview scheduling, recognition and communication
• Manage the upkeep of Talent Office suite by ensuring regular maintenance and cleaning. Organize ordering of office and kitchen supplies
• Compile statistical information to measure effectiveness of Recruitment and overall Employee Engagement programs. Perform high volume database entry.
• Organize onboarding for new team members such as orientation; assign cubicle, equipment and supplies, and parking provisions
Other team responsibilities
• Support the Staffing team during higher recruitment periods, to assist with scheduling, candidate cares and on boarding process for new hires
• Act as a comprehensive support function to the Department for ad-hoc tasks and future organizational projects
• Provide excellent customer service to external and internal candidates, to ensure a positive experience
• Assist with employee communications, program rollouts and HR initiatives
• Develop and maintain positive relationships with in the business and social community
• Other duties as assigned Qualifications/Requirements • High School Diploma
• Minimum of 2 years' experience in an administrative role
• Demonstrated proficiency in Microsoft Outlook, Word, PowerPoint and Excel Desired Characteristics • Bachelor's degree from a four-year college or university in Human Resources, Business, Communication or related field is highly preferred
• Experience in theme park, retail or hospitality industry
• Professional and personable with strong teamwork orientation
• Excellent interpersonal, communication and customer service skills
• Ability to work independently, prioritize and work on several projects simultaneously
• Proactive with the ability to follow up on tasks and strong attention to detail.
• Strong ability to effectively analyze and audit data. Strong competence in systems thinking
• Ability to maintain strict confidentiality and effectively handle sensitive matters
• Experience with SAP and Taleo or similar applicant tracking system
• Working knowledge of Human Resources highly preferred
