Full Time Job
This position will act as liaison in regards to contacts, the relaying of information, communicating and scheduling in order for Executive’s day running smoothly and efficiently.
In addition to the standard Executive Assistant duties, this position will be tasked with coordinator level work including business analysis, market research, preparing presentation materials in PowerPoint and word, and eventually receiving a PMP. This is a unique opportunity for someone who wants to get into the business side of the entertainment industry and would be a perfect spring board into a manager level role after 2-3 years, and then a JD or MBA. Top tier school required.
Responsibilities
• Maintains calendars, coordinate meetings and appointments, and keeps Executive appropriately informed on a timely basis when changes occur
• Works closely with executive to understand priorities, tracks executive whereabouts throughout business day and maintains them on a schedule and on mission
• Organizes, facilitates, and attends meetings and conference calls providing high level summaries for Executive
• Screens incoming calls and correspondence and responds independently when possible
• Arranges, books, and monitors details of complex travel and itineraries
• Prepares the executive(s)’ expense reports and reconciles corporate credit card account
• Creates and maintains presentations and spreadsheet files
• Works closely with other Administrative Staff as needed to coordinate calendars, meetings and other events that involve multiple Executives and/or departments
• Relieves Receptionist during assigned required rotation
• Performs other duties as needed and assigned
Requirements
• Bachelor’s degree preferred and/or minimum of 2 years related experience
• Excellent oral and written communication skills are crucial
• Possess excellent organizational and prioritizing skills
• Must be able to handle multiple tasks efficiently in a fast paced environment
• Must be able to interact effectively at all levels internally and externally
• Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
