Full Time Job
The Senior Coordinator assists design and production staff in all aspects of print and merchandise production, liaising with outside vendors, FBC departments, and providing administrative support to the department. The Coordinator is also responsible for tracking deadlines, invoice processing, and updating department databases.
Responsibilities:
• Assist design and production staff, overseeing and coordinating daily operations.
• Provide administrative support for print department including filing, answering phones, sending/receiving packages, ordering art and office supplies and updating status reports.
• Prioritize and balance coordination of projects and day-to-day office matters.
• Review and compare invoices with project estimates, code, and input into database, keeping accurate accounting records for all projects.
• Ensure all invoices have been properly coded, approved and input into the project recap database.
• Follow up with Finance to ensure all invoices have been paid.
• Get estimates from Vendors, confirm projects and prepare fulfillment memos.
• Prepare job specifications for estimates and final production
• Send current and accurate paperwork to vendors to ensure that the project is being produced per specifications provided.
• Trafficking Projects
• Oversee all elements related to a project, communicating with vendors to make sure all materials are delivered on time.
• Ensure all projects are fulfilled per our direction
• Sourcing Print and Merchandise Product
• Research materials for projects via internet, catalogs etc…
• Obtain competitive estimates from vendors and find the best product available.
• Other duties as assigned.
• Assist the Creative Services Department with projects or event when needed.
• Place orders for art office supplies, proactively to ensure department is well stocked.
Qualifications:
• Bachelor's degree and 1 to 2 years entertainment print/premium production, graphic design, or account executive experience
• Administrative and accounts payable experience preferred
• Excellent written, verbal communication and presentation skills
• Proficient with Microsoft Word and Excel, MAC, In Design with Adobe Photoshop and Illustrator preferred
• Detail oriented with strong organizational skills, and the ability to handle multiple projects in a fast paced, deadline oriented environment
• Self-starter and team player who takes initiative, and is able to work overtime as needed
