Full Time Job
• Process work order requests to building management for building needs and work requests into work order system; requests include porter/janitorial work throughout building, engineering requests for air conditioning, broken items, jammed doors, electrical issues, handyman requests for light bulb changes, running water in restrooms, and upkeep of the overall facility.
• Administer Visitor email and Facilities email accounts, ensuring requests are completed in a timely manner.
• Create drive on passes for all guests/visitors coming to the building.
• Assist with relocating new employees, temps and contractors; submit relocation forms and telephone service requests (TSR).
• Submit Relocation forms and Telephone Service Requests (TSR); submit TSR's to move, install and disconnect phones for employees in the building.
• Maintain building floor plans and keep them up to date when employees start, leave and relocate.
• Maintain phone list and location of all employees, tenants and temps in the building.
• Handle Invoices, review, scan, file, email and input invoices to Acenza for processing and payment.
• Maintain a list of vendor Certificates of Insurance.
• Administer reservations for conference rooms throughout the facility.
• Organize and track keys and locks to offices and file cabinets of building.
• Order supplies needed for building.
• Cover mailroom when mailroom attendant is away.
• Answer phones, organize and maintain department files.
• Draft and distribute building-wide tenant memos.
Qualifications:
• A Bachelor's degree and at least 2 years' experience in facilities management.
• Real estate, contract or legal background is very helpful.
• Exceptional MS Word, MS Excel and PowerPoint skills.
• Ability to work independently in a fast paced environment.
• Proven ability to manage multiple, frequently changing priorities and office tasks in a calm and systematic manner.
• Ability to multi-task while remaining focused on priorities and follow-through along with a curiosity and the investigative ability to obtain information about your tasks and take ownership of projects from start to finish.
• Ability to demonstrate common sense, practicality and good judgment with proven ability to take the initiative in keeping the office organized and efficient.
• Excellent verbal, and written communication skills, strong prioritization and organizational skills and a pleasant professional demeanor.
