We are seeking a dynamic, organized self-starter to join our CAA Human Resources team as a Recruiting Assistant to directly report and provide support to a Recruitment Manager, dedicated to finding the best talent to work in a variety of support and professional level functions across the business. This is not a role for those interested in pursuing the agent career path.
In addition to traditional administrative and clerical duties (i.e. answering multiple phone lines, follow up, and data tracking and entry) qualified assistants will take an active role in the recruitment process by scheduling interviews and meetings, answering applicant and candidate inquiries, utilizing the ATS to enter and track candidates, and performing any special projects as requested. The position provides an opportunity to learn about the full lifecycle recruiting process within a dynamic entertainment company. The ideal candidate is a self-starter, possessing a desire to pursue a career in recruitment.
Responsibilities:
High volume of preliminary phone screens and scheduling of candidates.
Heavy facilitation and management of the interview process via phone and in person on behalf of the Recruitment Manager.
Managing call logs, messages, and communication with internal clients; ensuring Recruiting Manager responds in a timely manner.
Heavy calendar maintenance, serving as primary gatekeeper, providing structure surrounding access to Recruiting Manager's calendar. Maintain an awareness of the Manager's obligations, in order to proactively assist and/or anticipate needs.
Responsible for applicant management/tracking and providing support to applicants surrounding the ATS.
Utilize effective communication and follow-through while acting as a dependable point of contact for candidates.
Assist with Employee Referral Program process, including employee payouts.
Conduct reference and background checks for candidates as needed.
Opportunity to assume increased responsibility including posting job descriptions, applicant sourcing for open positions, making offers to candidates, and processing new hires through HRIS.
Assist the HR team with key initiatives, ad hoc projects, and other tasks as needed.
Qualifications:
1 to 2 years of experience in Recruiting/HR. Background in Entertainment/Media preferred.
Experience with ATS/HRIS (Workday preferred) and strong command of the Microsoft Office suite and in particular Word, Excel & PowerPoint. Adept at quickly learning new processes and technology.
Ability to work well under pressure; meet tight deadlines; manage multiple projects and expectations; and maintain a sharp focus while managing competing priorities in a corporate environment.
Desired Characteristics:
Long term interest in building a career in Recruitment. Customer service oriented professional.
Exceptional interpersonal skills, while understanding the importance of maintaining a high level of discretion and confidentiality, strong follow through, and attention to detail.
Extremely flexible, proactive, highly organized, and ability to easily shift priorities, multi-task, and handle heavy work flow processing.
Education:
A Bachelor's degree is required.
