Full Time Job
This position provides administrative legal support to a team of attorneys, and will be responsible for fielding phone calls, calendaring deadlines, maintaining daily scheduling, setting internal and external meetings, assembling, organizing and filing documents, and formatting and editing correspondence, agreements, pleadings and other documentation.
Essential Functions:
• Able to understand and carry out oral and written instructions, and effectively prioritize and handle multiple tasks, competing demands, and fluctuating deadlines.
• Able to communicate clearly and effectively in English, both orally and in writing, with a solid working knowledge of correct grammar, punctuation, spelling and sentence structure to provide proofreading and editing of documents prepared by attorneys.
• Exceptional interpersonal and communication skills to effectively interface with staff, executives, departments and business partners in a collaborative, patient and tactful manner.
• Accurately set and track legal deadlines (filing dates, court appearances), meetings and appointments for team of attorneys across various productions, matters and/or cases.
• Highly organized and methodical to ensure proper filing, indexing and maintenance of correspondence and legal documents.
• Demonstrate high level of professionalism, discretion and confidentiality to handle sensitive and/or proprietary information.
• Regular and timely in-person attendance to physical workplace.
Other Duties & Responsibilities:
• Answer, screen and respond to telephone calls and routine correspondence.
• Prepare and format basic form agreements.
• Assemble, serve and file legal documents for delivery to third parties, courts, administrative agencies, in conformance with the applicable format, rules and/or requirements of the network, agency or court.
• Experience with handling pre-filing procedures (signature verification, proofs of service, cover sheets, e-filing procedures), and case preparation (exhibit assembly, bates stamping, document indexing).
• Proficient in researching and reviewing statutes and rules of court to ascertain and follow proper means and forms by which matters are submitted for consideration.
Qualifications:
• 2-3 years of work experience in administrative support.
• Bachelor degree in a liberal arts field involving extensive research, writing and analysis (e.g. English, communications, legal studies) a plus.
• Must be proficient in Microsoft Office (Excel, PowerPoint, Word).
• Must be proficient in the Macintosh Operating systems.
• Must be able to handle a busy multi-line phone operating system.
• Working knowledge of legal forms and documents, legal practices and procedures, litigation and legal calendaring.
Physical Demands:
• Appropriately handle stress, respond to time-sensitive deadlines, and maintain overall composure despite conflicting priorities and changing needs.
• Sedentary role that may involve the ability to sit or stand for long periods of time.
• Able to write, talk and hear effectively in order to engage in quick and accurate communications with multiple individuals via email, in-person meetings, and telephone.
• Able to closely and visually review small details.
• Able to engage in light lifting of no more than 5-10 lbs. unassisted.
Work Environment:
• Regular office hours from 9:30 am - 6:00 pm.
• This position routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
