Beverly Hills Entertainment Attorney is hiring an Administrative/Personal Assistant to provide day-to-day support to busy Attorney and handle Attorney's professional and personal business.
Responsibilities and Duties Include:
Review and Respond to e-mail on Attorney's behalf. Scheduling and coordinating meetings, appointments, travel and maintaining calendar and contacts database. Filing, printing scanning and photocopying. Preparation, scheduling and tracking of mailed documents sent domestic and internationally. Drafting and preparation of standardized documents and correspondence. Formatting, word processing and review of redlined documents with attention to grammar and spelling. Handling the phones (fielding, transferring, connecting, conferencing calls) and messages. Assisting in the preparation of meetings. Opening and reviewing mail. Attorney office organization. Calendar, task and deadline reminder and follow up. Assisting with business and personal special projects. Attend meetings and events out of office and assist with out of office business and personal errands.
Must have excellent working knowledge of Microsoft Word, Excel, Outlook and Blackberry software. Must have good typing skills. Attention to detail (including good spelling, grammar and proofing skills) is a must. Must be able to multi-task, prioritize work, and juggle multiple projects, tasks and deadlines under pressure in a fast-paced environment with a high degree of speed and accuracy while minimizing errors. Must be a highly efficient, highly organized individual who is detail oriented with the ability to organize, prioritize what's important from what's not, great follow-through and follow up on tasks with limited supervision. Must be a quick learner and self-starter. Attention to detail, as well as excellent verbal and written communication skills are also essential. Must have professional phone demeanor, excellent communication skills and be comfortable interacting with employees and clients at all levels and handle highly confidential matters in the most professional manner. Respond expeditiously to diverse assignments and take responsibility for projects from beginning to end. Must have outstanding time management skills. Demonstrates initiative by self-starting improvements to systems and processes and requires minimal supervision. Candidate must be punctual, reliable, resourceful and able to work effectively as part of a team. Must have ''no task is too small'' attitude. Must ensure that all the information Attorney requires is always at hand. Must interact professionally and courteously with industry executives and talent, must have a no ''attitude'' respectful demeanor. Should have an easygoing personality and in the most difficult situations, maintains composure and positive relationships with tact and efficiency not appearing angry or frustrated yet the ability to be firm when necessary. Works well under stressful situations and aggressive time frames with a desire to pitch in and help. Must have fully insured automobile and valid driver's license. Due to extremely busy schedule and international clientele Assistant must be available occasionally by phone evenings and weekends on as needed basis. Flexibility to swap weekday work for weekend work on occasional as needed basis. Looking for a candidate with the ability/interest in assuming greater responsibility as circumstances dictate. Prior related experience a plus. Prior legal and/or business affairs experience a plus. Prior entertainment industry experience also a plus.
Salary: Benefits and salary range competitive with major talent agency assistant positions (Salary Range $28K-$32K based on level of experience).
$28000 - $32000 commensurate with experience
