A leading PR/ Creative Marketing firm representing actors, filmmakers, fashion designers, production companies and musicians is seeking a full time Executive Assistant/Office Manager who can manage multiple tasks at once and has an obsessive attention to detail. The Executive Assistant will directly report to and handle tasks for the CCO.
Responsibilities:
• Prioritize needs, handle matters quickly and proactively, and follow-through on projects to successful completion, often with deadline pressures.
• Greet visitors and prepare for meetings, setting up and cleaning up at conclusion.
• Assist/preparation with photo shoots and coordinating creative events.
• Administrative work such as answering phones, photocopying, filing, calendar, scheduling.
• Provide general operational support to the company.
• Create organized systems in workplace (office management).
• Create procedures to maintain office systems (contact database, email organization, file structure, note taking, record keeping, etc.)
• Builds a company library (operation manual) as well as create instructions/manuals for office management.
• Coordinate maintenance and repair of the building with contractors, etc. as requested.
• Follow up and be accountable for building operations initiatives.
• Ensuring certain tasks are being accomplished on time and being proactive to accomplish goals.
• Support CCO with tasks- both personal and business.
Requirements:
• 1 year of supporting an executive (executive or personal assistant), preferably in a small company or startup environment.
• Anticipate the CCOs needs and be resourceful in handling issues as they come up.
• Proficient with Microsoft Office (Outlook, Word, Excel and Power Point) Google Drive/Suite, Dropbox is a must.
• MAC, Adobe Acrobat is a plus!
• Strong organizational and time management skills that reflect the ability to perform and prioritize multiple tasks
• Extremely organized and can bring organization and structure to a growing division.
• Team player; willing to jump in on any task (business or personal) and follow all jobs through until completion. Excellent written and verbal communication abilities.
• Proactively thinking and researching ways that can help save the CCO and company time.
• Learn new software platforms quickly and is constantly researching new technologies for efficiency and improvement.
• Respectfully take direction from the CCO; perform duties in support of the CCO; with general guidance in terms of overall objectives.
• Be available for photo shoots, events, galleries, which could take place during evenings or on weekends.
• Have basic photography skills (using Iphone and DSLR) and photo editing skills like Photoshop and phone photo apps like VSCO and Illustrator are a plus, but not necessary.
• Ability to navigate social media platforms like Snap chat, Instagram, Pinterest, Twitter, Facebook, YouTube, Pinterest and Wordpress blog is a plus, but not necessary.
• Previous experience as a receptionist, administrative assistant or office manager is a plus.
• Must have a car.
• Must live in Los Angeles.
