Summary
BRON Studios USA Inc. is on the lookout for an Assistant to SVPs, Business Affairs, to join our Business Affairs team. Based in New York, and reporting to the Senior Vice Presidents of Business Affairs, the Assistant to SVPs, Business Affairs will bring their passion and enthusiasm for the business side of film and entertainment to this role. As a proven high-achiever and polished professional, you have exceptional time management and organizational skills. The successful candidate will be positive and resourceful with an energetic demeanor and a proven track record of providing outstanding assistance.
Responsibilities
Handling phone duties, which include fielding incoming calls, transferring calls, taking messages, scheduling calls, etc.
Forwarding corporate mail and any correspondence from NY office to relevant office, and maintaining consistent communication between Bron's multiple offices (Burnaby, Los Angeles, Toronto and New York).
Managing calendars and updating calendars on a regular basis for SVPs (Toronto and New York).
Scheduling/organizing meetings through necessary audio and video services.
Dealing with general inquiries, keeping office area presentable for visitors, clients.
Managing weekly expense report reconciliations.
Filing, downloading and sorting incoming e-documents.
Ordering office supplies, proactively seeking better solutions for cost-containment.
Establishing processes for office functions to ensure smooth flow of operations .
Book travel arrangements and proactively check on cancellations or delays to ensure alternate arrangements are made.
Work closely with other assistants in BRON's multiple offices.
Qualifications
Highly organized and able to manage multiple tasks under tight time frames.
A self-starter who can work both independently and function well within a team.
Demonstrate strong independent judgment and a high degree of interpersonal effectiveness .
Demonstrated ability to work in a team environment where flexibility, keeping others informed and anticipating needs is essential.
Relationship builder and able to interact respectfully and confidently with internal executives, executive assistants and external contacts.
Ability to manage efficiently in a multi-tasked environment and ensure deadlines are met by prioritizing work flow.
Strong people and conflict management skills.
Positive, collaborative team player.
Demonstrated discretion and confidence dealing with highly sensitive matters.
Proficient in Microsoft Office products.
Excellent written and oral communication skills.
Entertainment industry exposure/experience is preferred.
