The role:
The Oriel Company is seeking an efficient, detail-oriented, and proactive Executive Operations Assistant to join our team in New York, who will support our four partners in their daily operations. The ideal candidate will be highly organized, endlessly resourceful, and committed to ensuring nothing falls through the cracks. This role will require strong communication skills and discretion in order to interact with a variety of stakeholders, both internally and externally.
Responsibilities:
-Efficiently manage the work calendars of the executive team, coordinating schedules and appointments both in person and virtual
-Arrange and organize detailed travel plans, itineraries, compile necessary documentation, and prepare corresponding expense reports
-Manage meeting coordination & provide documentation ensuring agendas are created and notes are taken
-Create reports using Google Slides, PowerPoint, Excel, and MS Word as necessary
-Provide administrative support in the areas of updating internal documents, daily clips, calls and emails.
-Conduct ''daily clips'' research to gather media coverage and industry trends.
-Perform administrative tasks including server & software organization and management, updating internal company files and documents, and managing office organization and communication (phone calls, company voicemail,emails etc).
-Manage company subscriptions and general materials
-Conduct light research on media coverage and industry trends, providing summaries and relevant information to the team.
-Collaborate with the executives and publicists to determine budgets and effectively manage expenses.
-Assist in other duties and project management as assigned by the partners.
Qualifications:
-Bachelor's degree preferred.
-1-2 years of experience in an administrative or executive assistant role; prior experience in the entertainment industry preferred.
-Proficiency in Google Suite, Microsoft Office Suite, and social media platforms.
-Exceptional organizational skills with the ability to multitask and prioritize effectively.
-Strong communication skills and ability to work collaboratively within a dynamic team.
-Discretion and ability to handle sensitive information with confidentiality.
-Excellent follow through with the ability to work both collaboratively and independently.
-Knowledge of pop culture and prior entertainment industry experience is a plus!
Competitive salary based on experience ($60,000- $70,000).
