Job Description:
Position: Receptionist/Administrative Assistant
Location: Hollywood, CA
Job Type: Full-time
Responsibilities:
Front Desk Management:
- Greet visitors warmly and ensure a positive first impression of the company.
- Answer and direct incoming phone calls with professionalism and courtesy.
- Manage incoming and outgoing mail and packages efficiently.
- Assist customers and clients in person, via phone, and through email with inquiries, requests, and general assistance.
Administrative Support:
- Assist in various administrative tasks, including data entry, filing, and invoice preparation.
- Maintain office supplies inventory and place orders as needed.
- Schedule appointments, meetings, and conference rooms as requested.
Bookkeeping:
- Utilize QuickBooks to perform basic bookkeeping tasks such as invoicing, expense tracking, and accounts receivable/payable.
- Assist with payroll processing and other financial tasks as directed.
Technical Skills:
- Proficiency in using Apple Mail and Google Workspace (Gmail, Google Calendar, Google Drive, etc.) for email communication, scheduling, and document management.
- Ability to quickly adapt to new software and technologies as required.
Qualifications:
- Previous experience in a customer service role is essential.
- Cheerful demeanor with excellent communication and interpersonal skills.
- Prior experience in the music/recording industry is preferred but not required.
- Proficiency in QuickBooks for basic bookkeeping tasks.
- Familiarity with Apple Mail and Google Workspace applications.
- Strong organizational skills with attention to detail and the ability to multitask effectively.
- Reliable and punctual, with a positive attitude and willingness to learn.
