Full Time Job
The mOcean Print Coordinator handles heavy scheduling, trafficking, note taking, billing and communications for the Graphics department. This person is the internal communicator between the Print department and all necessary departments. Excellent verbal and written communication skills are required. Proficient computer skills on all Microsoft office products and Adobe In-Design.
Essential Functions & Responsibilities
• Must understand the print and work flow process.
• Schedules and organizes.
• Follow through and follow up on every item.
• Coordinate with all freelancers, production and designers to handle the needs of the department to complete daily tasks.
• Quality control on small projects when asked.
• Must comply with all new hire and termination processes notifying HR and scheduling appropriately. This process includes filling out activation form, filling out appropriate material on Filemaker and scheduling new hire paperwork with HR on start date.
• Must ensure that all timesheets are completed for projects on Friday and turned in first thing Monday. These are usually designers but can include other employees as well. This is a vital portion of the job and needs to be completed by Monday morning.
• Must insure all billing requests are done and submitted in a timely manner.
• Must keep an up-to-date print client database.
• Must keep an up-to-date print freelancer database.
• Must be able to take notes both verbally and transcribe written notes.
• Communicate all current project number employees used for projects on timesheets. This list is sent out weekly on Monday morning and each coordinator must print and give to the editors.
• Review all work before submitting.
• Coordinators must track and update Filemaker database with current information.
• Communicate and follow up with executives.
• Work with PAs on scheduling lunch, dinner and any client on site visits.
• Manage workflow and meet deadlines.
