The mOcean Creative Coordinator handles heavy scheduling and communications for the Producers. This person is the internal communicator between the Producers and all the supporting departments i.e, Finance, HR, Machine Room, Assistant Editors, Music, Graphics, Writers, and Finishing Departments. Excellent verbal and written communication skills are required. Proficient computer skills all Microsoft office products.
Reports to:
Position: Non-Exempt
Hours: Work day starts at 9:00 a.m. and often asked to work overtime
Essential Functions & Responsibilities
1. Must understand and the post production process and work flow process.
2. Schedules and organizes.
3. Participate in the creative process including writing, editorial notes, graphic feed back etc…
4. Take notes during fiber and handle any requests as part of that meeting.
5. Must be able to professionally interface with clients and communicate during phone calls and fiber sessions.
6. Coordinate with all departments to handle the needs of the producer to complete the daily tasks i.e, Machine Room, Assistant Editors, Music, Graphics, Writers, and Finishing Departments.
7. Requests through Operations on Assistant Editorial needs i.e. overcutting/finding shots.
8. QC small projects when asked.
9. Must comply with all new hire and termination processes notifying HR and scheduling appropriately. This process includes filling out activation form, filling out appropriate material on Filemaker and scheduling new hire paperwork with HR on start date.
10. Must ensure that all timesheets are completed for Producer related projects on Friday and turned in first thing Monday. These are usually editors but can include other employees as well. This is a vital portion of the job and needs to be completed by Monday morning.
11. Communicate all current project numbers employees should be using for projects on timesheets. This list is sent out weekly on Monday morning and each coordinator must print and give to the editors.
12. Review all work before submitting.
13. Responsible for client gifts/entertainment ideas. Coordinators must track and update Filemaker database with current information.
14. Communicate and follow up with executives.
15. Work with PAs on scheduling lunch, dinner and any client on site visits.
16. Manage work flow and meet deadlines.
