The Role
Fremantle is seeking a Legal Assistant to provide support to our Scripted Business & Legal Affairs department. The ideal candidate for this position is an energetic, highly self-motivated assistant who is a self-started, proficient in multi-tasking, a sharp focus for details, and the ability to work well under pressure in a dynamic, fast-paced, creative-driven environment. Minimum 2 days in the office, per the departments schedules.
Key Responsibilities
Prioritizing and scheduling meetings, action items, conference calls and tasks for executives supported, often in coordination with other senior-level executives' priorities and calendars
Creating, revising, and redlining documents, including complex Word, Excel, and Adobe Acrobat files with a mastery of advanced usage
Using various cloud-based applications for specific tasks such as gathering electronic signatures, accessing corporate databases, etc
Managing documents and facilitating the flow of information between different departments and key stakeholders (verbal and written), with attention to time-sensitive follow-ups
Managing records storage, both digital and paper, including coordination with other staff regarding shared files
Draft, format, review, and revise certificates, amendments, and other legal correspondence and documentation as needed
Manage option tracking and option notices
Process and track payments and related correspondence for U.S. and international projects in collaboration with the production and finance team on Air Table
Prepares summaries of deal terms for above-the-line talent
Submits WGA weekly worklist and assist with other guild related paperwork as necessary
Track development deals and distribute weekly agendas for department meetings
Processing related expense reports on a timely basis
Perform other duties as assigned
Essential Skills and Experience
Minimum 3+ years of experience in an assistant-type capacity with a large corporation or law firm
Execute in a dynamic, fast-paced environment and multitask with ease
Take initiative, prioritize changing workload effectively, and maintain a solutions-oriented mindset
Demonstrate critical thinking skills, proactively identify issues, and make timely decisions
Meet the differing needs of different managers, recognizing that each requires unique support
Effectively collaborate with all levels of the organization and contribute beyond your range of responsibilities when necessary
Work efficiently while maintaining attention to detail and delivering accurate work product
Exercise professionalism, instill trust, and maintain confidentiality
Excellent communication, interpersonal, and organizational skills
Proficient computer skills, specifically MS 365 Product Suite and Adobe Acrobat
The pay rate for this position is between $65,000- $75,000 / $31.25- $36.06 per hour, plus applicable overtime, exclusive of any bonuses or other incentive compensation (if any).
