The Department
CAA's Global Business Services team is dedicated to driving value & efficiencies with the best partners and business practices. The GBS team is made up of three main support groups including: Strategic Sourcing, Global Travel Services, and Corporate Operations. Our Strategic Sourcing group partners with various internal groups on global initiatives over $100K in annual spend. Their mission is to maximize efficiencies & cost savings while ensuring business needs are met or exceeded. Global Travel Services is focused on elevating CAA's Travel program through strategic travel partnerships, elite travel booking and management technology, as well as driving internal adoption through quarterly trainings and T&E policy management. The Corporate Operations team is dedicated to implementing new corporate processes and policies aimed at driving automation and process improvements. This group oversees event ticketing, charitable tables, subscriptions, corporate stationary, employee perks, and CAA's Swag Shop.
The Role
We are seeking an Assistant to support the Head of the Global Business Services Department. The ideal candidate should be motivated, quick-thinking, attentive to detail, and resourceful. Additionally, they can handle a high volume of administrative tasks and clearly and professionally communicate with colleagues, stakeholders, and leadership. They are interested in corporate operations functions and are interested in assisting with special projects above and beyond administrative duties.
Responsibilities
• Manage administrative duties including a heavy phone volume, calendaring, and coordinating meetings, preparing expense reports, producing correspondence, file management, special projects, and personal assistance as needed.
• Maintain exceptional relationships across the Global Business Services, Global Operations and throughout the agency.
• Focused on customer service and communicating in a personable friendly demeanor.
• Manages monthly parking validation true-ups and reconciliations.
• Manages all travel, expenses, and expense submission for Global Business Services.
Qualifications
• 1+ years of administrative support experience at an entertainment/media company
• Thrives in a fast-paced, deadline- and detail-oriented environment, utilizing exceptional organizing and multi-tasking skills.
• Anticipates needs and quickly adapts to shifting priorities.
• Practices great discretion and maintains strict confidentiality.
• Collaborates well with colleagues at all levels.
• Possesses outstanding written, verbal, and interpersonal communication skills.
• Has strong understanding of and interest in the media/entertainment or sports industry.
• BA/BS degree preferred.
Location
• This role is hybrid, based in the Nashville, TN office.
Compensation: The base hourly rate for this position is in the range of $22.00-26.50. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
