YOA Orchestra of the Americas has an opening for a Tour Manager position related to a symphonic concert tour of an international orchestra, taking place in Eastern Canada in July 2015.
Job Description: The Tour Manager oversees the booking and execution of all non-artistic tour logistics for a group of 120 people from 25 countries traveling on a concert tour across Eastern Canada lasting from July 5 until August 4 2015. Specific responsibilities include the oversight of all in-country travel arrangements, the coordination of international arrivals and departures, hotel rooming lists, check-in and checkout procedures, all meals, and large instrumental cargo schedules. The Tour Manager is responsible for working within the confines of contractual agreements with vendors, tour partners, and presenters, and to this extent, is expected to manage a budget as it relates to this area. The Tour Manager receives reports from the Logistics Manager, and should be in constant dialogue with the Personnel Manager and Operations Manager. The Tour Manager works as a peer to the Tour Producer (responsible for overseeing all artistic tour logistics). The Tour Manager reports to the General Manager on issues of key decision-making. Progress and data is communicated to the Operations Manager, who also helps to track project goals and deadlines, and manages all information regarding schedules and lists.
Requirements: Qualified candidates have a background in tour management, hotel management, hospitality, or tourism. Candidates should also have a strong working ability in French and English, a capacity to understand Spanish, and an ability to adapt well to travel conditions.
Time Period.
Pre Tour Responsibilities (March - June 2015)
- Oversee planning of bus ground transport for tour by a combination of contracting services directly and/or overseeing local arrangements made by regional presenting institutions.
- Oversee all border-crossing visa and customs issues related to the transportation of the orchestra. This includes providing clear instructions to orchestra members in advance, providing necessary tour documentation, and tracking their progress seeking visas.
- Oversee preparation of hotel rooming lists.
- Oversee preparation of restaurant menus, procedures.
- Contribute relevant information to development of comprehensive tour schedule.
Pre Tour On-Site Commitment (April 6-16 2015)
- Take part in 10-day Pre Tour in order to gather first-hand information from presenters, venues, restaurants, hotels, and travel companies required for the development of a comprehensive schedule and the preparation of all things necessary for the tour.
On-Site Tour Commitment (2 July 2015 - 5 August 2015)
- Serve as Tour Manager in YOA Concert Tour, working average of 10 hours per day, involving the country of Canada.
