Weissman/Markovitz Communications, a long-standing entertainment awards consulting and public relations firm whose clients include Paramount, FX Networks, Amazon Studios, BET, several motion picture guilds and small, independent films, is seeking an Office Coordinator to join our team.
The Office Coordinator is responsible for a wide-range of company-wide support tasks to ensure the smooth operation of the office as well as provide public relations support. The ideal candidate is someone with a minimum of 2 years of administrative experience who's worked or interned in a PR agency.
Office/Administrative responsibilities include but are not limited to:
- Screen/answer calls, maintain executive and office calendars, coordinate staff and client meetings, prepare expense reports, book travel and assist with special projects as needed.
- Manage vendor relations for the office, order office lunches and supplies, maintain office equipment, coordinate with external IT support and keep facilities organized.
- Prepare client billing and accounts payable for external bookkeeper.
- Maintain electronic and hard-copy filing systems and keep client and internal documents up to date.
- Assist in the on-boarding process of new hires.
- Performs other duties and assists with other departments as assigned.
PR responsibilities include but are not limited to:
- Assist with PR efforts including distributing press releases, building media lists, research, etc.
- Daily monitoring of print and online publications to identify client-relevant media coverage, including competitive market and industry information
- Compile and distribute press breaks and reports using Critical Mention and/or PowerPoint.
- Update press lists using Cision and Excel.
- Create invites and manage RSVPs for events and assist team with event logistics.
- Assist with calendar listings and film festival submissions.
- Assist team at press and client events.
- Performs other duties as assigned.
Requirements:
- Over 2+ years of administrative or internship experience at a public relations agency or in the entertainment industry.
- Experience supporting senior-level executives.
- Tech-savvy and proficient with macOS, Word, Excel, Outlook, PowerPoint and Adobe.
- Familiarity with Cision and Critical Mention a plus.
- Works well in a fast-paced, deadline-driven environment.
- Must be reliable, possess a can-do attitude, good judgment, and demonstrate proactive problem-solving skills.
- Exceptional organizational skills with strong attention to detail.
- Excellent verbal, written and proofreading skills.
- Bachelors degree in public relations, communications or related field.
- Must be willing to work some nights and weekends for events.
- Reliable transportation (Must have a car).
