High Level Job Description:
Provide broad administrative support for Release Operations Scheduling group, and entire department, as needed. Facilitate daily scheduling changes for all promotional and commercial, physical and digital, album, single and video releases for label and affiliated labels and communicate changes to department and applicable label personnel. Set up and maintain all album, single and video releases for label and affiliated labels, inclusive of milestones, in New Release Scheduling application. Assist with annual deadline creation, publishing specific project deadlines, tracking projects against pre-release milestones and updating the label and Release Operations teams with issues around workability. Prepare, proofread and distribute weekly release schedule and related customized schedules. Prepare tally reports (Release Numbers, Early Warning, etc.), and other reports, as assigned.
Detailed Job Description/ Responsibilities:
• Transcribe scheduling changes received from label and affiliated labels into Daily Schedule Changes memo and proofread memo before distributing
• Assign selection numbers and UPCs for new products and/or work with international repertoire owners to obtain correct UPCs
• Accurately enter all scheduling changes into New Release Scheduling application and SIR database daily
• Proofread schedule weekly, prior to publication, to ensure accuracy of data
• Copy and distribute schedules, physically and electronically, each week
• Attend and actively participate in weekly Production Meeting
• Assist with annual creation and distribution of production deadlines and set up production milestones for all configurations in New Release Scheduling application
• Prepare weekly, monthly and yearly reports, including but not limited to: Release Numbers Tally, Early Warning Tally and others, as assigned
• Distribute department mail several times per day and distribute printed samples
• Assist Media Ops Administrative Assistant as necessary to fulfill department supply needs, order as needed, and organize supply cabinet
• Assist Media Ops Administrative Assistant as necessary to maintain printer paper supply, change printer cartridges as necessary, handle maintenance requests
• Organize and purge various obsolete files to keep up with changing departmental storage requirements
• Assist with special projects, reports and proofreading, as needed
• Interact with a wide range of personalities within and outside the department at all levels of the company
Required Competencies/Skills:
• Ability to handle multiple tasks and juggle various priorities
• Ability to maintain focus in high stress environment
• Self-Starter who takes initiative
• Excellent time management, follow-up skills, organizational skills with ability to prioritize workload, and strong attention to detail
Special Requirements/Preferences:
• Proficiency with Microsoft Office suite (Word, Excel, Outlook) required
• Proficiency with both Mac and PC platforms preferred
• Editing or proofreading experience a plus
Education Required:
• Minimum 1 year general work experience
• College degree preferred
