High Level Job Description:
This position reports to the VP of Business Affairs and SVP of Sales and Marketing
Detailed Job Description/ Responsibilities:
Assist VP of Business Affairs and SVP of Sales and Marketing with each of the following:
• Manage executives calendars, schedule meetings, arrange conference calls and travel, coordinate team meetings, ordering supplies, photocopying and answering phones, etc .
• Submit, track, & maintain travel and entertainment expenses
• Plan and coordinate budgets, oversee execution of participation in conferences, industry events and special events.
• Provide back-up coverage for the other Executive Assistants during their absence which includes covering phones, reports, and other projects as needed.
• Plan and coordinate Account Meetings
• Produce PowerPoint and Excel reports and charts as needed
• Maintain highly confidential or sensitive information
• Other special projects as needed
• Promo Order placement.
• Departments Time Off Tracker (Sick days, vacation, etc.).
• Rally the internal assets of the company for the benefit of the team (IT, Office Services, etc)
• Managing physical paper and digital files
• Drafting correspondence
• Performing other similar tasks as requested
Required Competencies/Skills:
• 0-2 years experience working as executive assistant
• Ability to work in a dynamic, fast-paced environment, for several executives
• Excellent typing and proof reading, strong organization skills, good follow through, excellent phone and interpersonal skills, detail oriented, strong work ethic.
• Willingness to help executives maximize their own performance, to be a team player
• Ability to manage and prioritize multiple projects and deadlines
• Ability to learn new tasks quickly; commitment to excellence and self-improvement
• Ability to communicate clearly and identify issues, without being prompted to do so
• Prior experience working in business and legal affairs and/or for a record label or other music or entertainment company is preferable, but not required.
Education Required/Preferred:
• Bachelors Degree preferred but not required.
