High Level Job Description:
The project coordinator is responsible for all materials related to generic packaging, promotional sampler packaging, and digital only releases without physical counterparts. This position is also on point to assist Project Managers and Directors with administrative tasks related to preparing products for manufacturing/distribution.
Job Description/ Responsibilities:
• Possess an ability to monitor album and singles schedules to keep track of deadlines and projects
• Solely responsible for the creation and on-time delivery of all generic artwork
• Responsible for production, routing and on-time delivery of multi-artist promotional CD sampler packaging
• Responsible for the creation, routing and upload of artwork and label copy, as well as archiving of all digital singles for new artists, where no album has been scheduled
• Responsible for the creation, routing and upload of artwork and label copy, as well as archiving of all digital albums or EPs without a physical counterpart as assigned by Sr. Director
• Compile, clear, research and assure accuracy of credits for inclusion on all assigned physical and digital promotional/commercial product
• Assist Release Manager and provide backup as necessary with entry of ISRC codes in AS400 as necessary
• Assist Packaging Managers in the proofreading of physical album and singles packaging
• Assist on physical album and single projects under oversight of Sr. Director: solicit copy; send deadlines and templates; format copy for submission to art director; proofread and submit changes; route and obtain approvals; keep Marketing, Scheduling and Art Director continually abreast of approaching and missed copy and art deadlines; submit files to pre-press vendor and manage approvals with art directors, ensuring accuracy of materials for copy and spec; create archive copy document and upload to Editfile folder; request final print files and upload to CAR
• Enter Bills of Materials for all physical releases into system ESS
• Update artist name/title and track titles in Gracenote as necessary
• Attend weekly production meeting and give project updates as necessary
• Contribute to special projects assigned by supervisor and department head
• Assist with coverage for Packaging Managers/Directors
Administrative
• Communicate details of all art file transmissions to printer/manufacturing plant to Special Project Director for daily Traffic Report
• Prepare label Packaging Memos and distribute to appropriate label personnel, print vendors and manufacturers for assigned projects
• Attend weekly Production Meeting and give project updates as necessary; attend Staff Meetings
• Attend project-related planning meetings
• Maintain Project Manager Assignment list
• Maintain label copy formats for department
• Maintain internal routing document
• Deliver physical printouts and vinyl test pressings for department internally as requested
General
• Handle overflow from Packaging Managers on large projects and assist with proofreading and administrative tasks as required
• Contribute to special projects assigned by supervisor
• Cover for absent co-workers

Special Requirements/Preferences:
• Graphic Arts asset management and/or Publishing/Printing/Manufacturing background
Education Required:
• Minimum one year Editorial or Packaging experience, preferably in the Entertainment Industry
• College degree preferred
