Detailed Job Description/ Responsibilities:
• Ability to handle high call volumes.
• Manage department phones and maintain calendar for appointments, calls, meetings, VIP visitors, key projects and follow-up tracking.
• Confirm appointments through calls or email.
• Schedule conference calls among multiple parties.
• Calculate and submit manager’s and personal invoices, timesheets and expense reports in a timely manner.
• Assist in the processing of invoices and POs in SAP.
• Coordinate travel arrangements and travel itinerary, including venue details.
• Supervise manager’s desk in his/her absence; make decisions as necessary.
• Function as the liaison between senior manager and clients, etc.
• Research, compile and present projects as requested.
• Coordinate in-house and external meetings regarding status of projects and assignments.
• Coordinate and oversee document production and projects, as requested.
• Maintain client files, contacts database and record keeping needs of practice.
• Order supplies and equipment for designated practice area.
• Maintain various mailing lists - both physical and digital servicing.
• Order CDs and making sure product closest is current.
• Attend staff meetings and take responsibility for follow-up action.
• Maintain and update mannequins, merch and lobby scrims.
• Complete special projects as assigned.
• Make sure kitchen is fully supplied and tidy.
• Other duties as assigned.
Required Competencies/Skills:
• Comprehensive PC and Mac experience, especially with Microsoft PowerPoint, Outlook, Explorer, Word and Excel.
• Typing at 45 wpm, with excellent spelling, grammar and writing skills.
• Internet experience is essential and working knowledge of Blackberry is preferred.
• Working knowledge of Photoshop and PowerPoint a must.

• They will possess a pleasant (and courteous) phone and personal manner.
• They must have the ability to represent the EVP in an informed and professional manner.
• They must be interested in pursuing a career in marketing.
Education Required/Preferred:
• Bachelor’s Degree is preferred.
