Position Objective:
Manages, gathers and communicates all sales information pertaining to our label partners as well as the WEA Sales force.
Position Responsibilities:
• Form relationships with label to receive and verify new release information.
• Daily maintenance of internal New Release Schedule and Compiled New Release Schedule with information from daily and weekly label NR and Production Schedules, NR email notifications, weekly label reports and weekly label meetings. Once a week compile ADA releases into the internal New Release Schedule. Maintain bumps and changes through daily updates from ADA.
• Manage New Release Process:
• Enforce label deadlines including NR set-up, basic artist/album information and updated press & marketing information.
• Become familiar with label new release and production schedules as well as Daily Bump Memos to know what to expect and the correct questions to ask regarding new releases.
• Work with labels to ensure they are entering the proper information via CMS onto the new release pages. Communicate with those who are still missing necessary information.
• Maintain an internal schedule of new release assets that are needed to announce a page including cover art, logos, track listings, available merch, marketing info, artist history reports, IOs, and basic artist and album information.
• Review completed new release pages before exporting to make sure all information is properly formatted and in the correct locations. Make sure logos and cover art are available. Address any issues with IT or label when needed.
• Build the WEA New Release Guide by exporting PDF sell sheets from properly formatted new release pages.
• Format the PDF New Release Guide by adding recap pages, table of contents and links.
• Create the New Release Sales Announcement making sure all details on special programs and any other relevant information pertaining to the guide are communicated effectively.
• Announce the WEA and ADA New Release Guides to the sales field and customers via email and Daily Announcements.
• Maintain the WEA and ADA New Release Guide archives on the Intranet, as well as the ADA Video New Release Guide
• Ongoing Management: Make revisions and additions to WEA New Release Guides including replacing pages, bumping or deleting pages, and adding in late additions, all so the field and the customers have the most up to date information in a guide. Announce specific changes to guides via Daily Announcements and Customer Weekly Announcements.
• Prepare NR setup docs, assign NR discounts for input by Price & Control.
• Back up for Setting up Asked-For, Auto Apply, Impact programs. This includes creating and posting Sales Announcements.
• Form relationship with Soundscan and Billboard. Send weekly Soundscan links to both and check their linkages the following week. Follow-up with any issues involving linkages or SS in general.
• Daily Announcements and Weekly Customer announcement. Work with ADA to incorporate ADA news into the DA. Working towards creating an ADA Weekly Customer Announcement as well.
• Attend weekly National ADA and WEA Sales calls.
• Communicate errors with ESS/NRCS and other systems to Burbank when necessary.
• Receive label NR and production schedules weekly and comb through for changes/additions to the NR Schedule.
• Combine ADA and WEA information to create the weekly Final New Release list which is communicated via Daily Announcements.
• Work with ADA to ensure effective communication of information is going out to the sales field, combining ADA and WEA info and documents where appropriate.
• Attend Label group Weekly Production calls, for updates and maintenance of information
Required Competencies:
• Nielsen Soundscan, Mediabase, BDS
• Dreamweaver, ftp, html, Filemaker Pro, Silverpop, Content Management System, Adobe Acrobat
• Action Oriented & strong time management with ability to multi task and prioritize.
• Communication skills essential in writing, interpersonal and keeping colleagues informed.
• Knowledge/Expertise in industry retail music store experience highly desirable.
Special Requirements/Preferences:
• 3 years previous experience in Production & Communication preferred.
Education Required:
• College Degree preferred.
