Department Description:
The Royalty department provides timely licensing of, and royalty payment for, all products released by Word’s Label, Print, Distribution, and Publishing divisions. We obtain licenses and agreements from various sources, enter the relevant data in the royalty system, and process both outgoing and incoming royalties. We work with the Finance department to ensure accurate and timely internal accounting related to royalties, and we handle all royalty audits conducted by third parties.
High Level Job Description:
• Obtain licenses for all recorded products, set up in royalty system for payment, process royalty statements
• Test royalty statements for recorded projects
• Prepare royalty statements for mailing
Detailed Job Description/ Responsibilities:
• Set up new products in royalty system and add label copy
• Create/edit whitesheets and initiation sheets as required
• Assist with determining most cost-efficient licensing method for each project (controlled comps, allocations, pro-ratas, etc)
• Request, review and prepare licenses for signature
• Analyze, interpret, and implement royalty terms of copyright licenses in royalty system
• Perform unlicensed track maintenance when licenses are received after product releases
• Assist with calculating retro adjustments as needed
• Prepare and distribute licensing status reports as scheduled
• Assist with processing manual statements
• Assist with calculating publishing advances
• Research addresses for unknown publishers, make address changes in royalty system
• Request new vendor set ups and address changes in A/P system (SAP)
• Create and run Nucleus reports for testing
• Run Midnight Sales reports in Oracle
• Assist with testing of quarterly copyright statements
• Assist with preparing quarterly copyright statements for mailing
• Work with publishers to resolve issues and disputes with licenses and statements
• Test all products set up during month to ensure correct accrual
• Assist in researching audit claims
• Assist in editing copyright notices for product packaging
• Order publisher comp copies of products
• Register products with Library of Congress
• Special projects as required
Required Competencies/Skills:
• Strong Microsoft Word and Excel skills
• Ability to handle multiple projects at once and meet necessary deadlines
• Strong organizational skills
• Telephone and communication skills
Special Requirements/Preferences:
• Knowledge of the music industry with copyright experience preferred
• Microsoft Access, Oracle, SAP, and Counterpoint royalty system preferred
• Accounting background preferred
Education Required/Preferred:
• College degree preferred but not required
